Planning Admin Co-ordinator – Occupational Health Department Starting salary from £26,229 Up to 5% bonus Permanent role - 40 hours per week Located at our offices in Doxford Park – Hybrid working minimum two days in the office Here at Northern Gas Networks we have an exciting opportunity for a Planning Admin Co-ordinator within our Occupational Health Department (OH). We are looking for someone with experience of planning and scheduling appointments with diary management experience as a paramount. Your strong administration skills along with your calm approach and excellent attention to detail would be highly beneficial in this role. You will be able to confidently manage matters of a confidential nature, including data protection rules and regulations, alongside the ability to work autonomously and think on your feet. You will be working in our dynamic team which includes an Occupational Health Nurse and Technicians and lining directly into our Occupational Health Manager. You will co-ordinate all of our requirements so your passion for Microsoft packages and in particular Excel is a must. This role will see you delivering a first-class service working with internal and external stakeholders, so communication skills are essential. Key accountabilities and responsibilities will include: • Scheduling the annual health surveillance programme for both Direct Labour and Direct Service Providers by liaising with the Depot Administrators and where necessary site managers, and sending out weekly schedules to the OH clinical team • Ensuring room bookings are made in advance of the clinic dates • Supporting the clinical team in updating and maintaining the health surveillance spreadsheets and restrictions register • Organising any new/review appointments with the external OH Physician by liaising with external administration team • Ordering medical consumables, raising purchase orders and processing invoices • Processing any other invoices associated with all OH activities, and maintain the budget spreadsheet • Managing starters, leavers and movers process • Support the OH Technician with the new starter health declaration process • Manage the Occupational Health inbox and cascade any queries/information received to the appropriate clinical team member • Supporting the OH Manager in preparing and presenting statistical data in relation to all Occupational Health activity to the business as required What we are looking for in our Planning Admin Co-ordinator – Occupational Health Department: • Experience of planning and scheduling appointments and managing diaries • Ability to work under own initiative, and as part of a team • Ability to prioritise tasks and able to work to deadlines • Experience of raising purchase orders and processing invoices • Ability to adapt to change and unexpected and varied circumstances such as cancellation of appointments and to take appropriate action • Good time management skills What we Offer You • A competitive salary of £26,229.00 per annum • Up to 5% bonus (dependent upon achievement of set targets) • 25 days annual leave (plus recognised bank holidays and 2 half days over the Christmas period) • SSP for first 7 calendar days then occupational sick pay • A generous stakeholder 5/10 pension scheme • Free onsite parking • Flexible benefits and salary sacrifice options from discounts on a variety of UK attractions, gym membership, restaurant discounts, experience daysand exclusive NGN discounts and much more • An array of fantastic family- friendly policies such as 6 weeks’ paternity leave (for eligible employees) and 6 months’ full pay for employees on maternity leave (for eligible employees), as well as shared parental leave and many more.
