Responsibilities of the role include Service Delivery, Management and Reporting Overall responsibility for the smooth day-to-day running of planned care, including all clinics, premises, triage, staffing, equipment, and stock. Ensure PCS services meet all relevant contractual, regulatory and performance requirements including staff and patient satisfaction. Ensure consistency of pathways for service delivery across all services. Role model positive leadership behaviours, providing visible, engaged leadership promoting equality, diversity, and inclusion for all aspects of the role. Challenge efficiencies for service delivery and operational processes across all teams. Work closely with our Head of IT to ensure our IT systems support PCS Service needs and regularly review and challenge the DOS to support our clinical pathways. Ensure our reporting suite meets our internal, external, and contractual obligation. Deliver staff management that encompasses pastoral care, develops career pathway options, and supports staff retention. Ensure all staff meet their performance objectives through regular review meetings, 1-1s and appraisals. Foster and maintain constructive working relationships with staff, ensuring corporate culture and teamwork is in place. Support HR aspects such as staff recruitment, appraisals, and the application of appropriate employment law with the Senior Director of Operations. To ensure Clinician compliance requirements are always up to date. Completing complaints and incident handling, ensuring the process does not breach timelines and learning is shared where appropriate. To manage compilation of intermediate planned care and primary care services elements for the monthly Quality Assurance report To provide the Senior Director of Operations with an information summary analysing progress against planned implementation targets monthly for the QA report. Compile and submit all Service reports to the ICB within contractual deadlines. Where necessary stand-in for an administrator if no other cover is available. Manage planned cares annual audit plan for each clinic location. Monitor the effectiveness of services and make recommendations for improvement, liaising with the Senior Director of Operations and Clinical Leads as appropriate. Provide key FedBucks service updates to stakeholders across the healthcare system as required. Making sure the service is running on a high-quality level according to the CQC regulations. To support business cases for the provision of agreed services by FedBucks and project management, including new services set up. To provide relevant and responsive communications and support to Primary Care. Rota and workforce planning Publish clinics for all services on EMIS at least one month in advance. Work with the rota team to ensure that all clinics Monday - Saturday are fully staffed and work with the rota team to identify cover for sickness and holidays. Regularly review and maintain our capacity and demand planning to enable structured work force modelling for both operational and clinical teams. Provide relevant workforce data and reports based on capacity and demand planning to build into the budget forecasting and planning. Ensure all teams operate within the rota and workforce templates and policy guidelines for statutory and budget controls. Manage and maintain robust processes with regular audits to control an accurate data flow from rota to payroll. Authorise clinician invoices based on agreed rota hours, agreed additional hours or paid by case services (Triage and Results). Oversight of signing off the rota on a weekly basis and ensuring that the rota is delivered within the agreed Agency usage. Leadership and collaborative relationships To work closely with the Senior Director of Operations and GP Lead to support PCS in meeting our contractual obligations and safe service delivery and deputise as needed. Build strong working relationships with our collaborative partners, member practices, system partners and ICB. To support the strategic planning and service transformation for PCS Services and the vision and values of our organisation. Build strong working relationships across the FedBucks teams. Lead and coach our PCS team to be inspirational leaders following and promoting our values and vision.
