Role purpose: To provide a high quality confidential Personal Assistant service to Senior Leadership Team members maintaining the highest possible standards of customer care and discretion at all times. Main duties and responsibilities: Provide a high quality personalized secretarial and organizational support service. Effective management of the electronic diary, assessing priority of appointments and proactive reallocation as necessary. Provide support for a range of internal and external meetings. This will include preparing agendas, pre-meeting briefings and meeting papers, noting action points and following them up. Produce and manage correspondence, memos and reports from written copy or audio and prepare presentations as required. Sort, distribute and respond or draft responses to incoming mail in a timely and efficient manner. Develop, maintain and review administration systems to achieve maximum efficiency. Act as a key liaison point between senior managers and other key parties, setting up meetings as appropriate and maintaining good communications. Make travel arrangements, book accommodation and process claims for expenses. Provide high quality and professional office hospitality to visitors. Provide proactive cover for other senior PA’s as required to achieve a seamless cover within the PA group. Commit to working proactively to support the MDC team. Any other duties as may reasonably be required. Where applicable, attend and take minutes of sub-committee meetings and respond to members in a timely and professional manner. Experience : Experience of working as a Personal Assistant for senior staff. Experience of electronic diary management. Knowledge, skills & competencies: Ability to organise and plan own work. Ability to assimilate large quantities of written and verbal communication quickly and produce accurate, timely minutes when required. Ability to work on own initiative and to deadlines. Ability to deal with sensitive information with discretion and to maintain confidentiality at all times. The ability to pay high attention to detail to maintain a high level of accuracy. A flexible, pro-active approach to work including the ability to prioritise and re-prioritise to achieve successful outcomes. Excellent written English and the ability to communicate at all levels. Excellent team working skills with the ability to work collaboratively and co-operatively with colleagues. Excellent IT skills including working knowledge of word processing, spreadsheet and presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint. Exceptional interpersonal and communication skills, including the ability to ensure effective communication with a wide range of contacts both internal and external.
