Business Administrator & Finance Support

Interface Clinical Services, an IQVIA business, are looking for a business administrator to join our head office team in Yeadon, Leeds. The role provides vital support to the company and ensures the smooth running of day-to-day business.

Responsibilities:
1. To set and maintain the highest levels of professional conduct whilst representing the company to the highest standard
2. Greet visitors / be the first point of contact on the phone
3. Manage post (incoming and outgoing)
4. Ensure that office machinery (franking machine/printer/binder etc.) are in working order and arrange repairs if required
5. Monitor the stock and order office supplies
6. Meetings: Manage room bookings/set up, catering, refreshments etc.
7. Coordinate/project manage regional meetings, Christmas meals (Directors/Seniors and office only)
8. Liaise with Travel Company
9. Monitor and manage Outlook inboxes
10. Manage holiday requests and ensure that diaries are updated as required
11. Coordinate starters and leavers on internal / appropriate systems
12. Manage the ‘onboarding’ process for new members of staff, including issuing of documentation, organising equipment, policy reviews etc.
13. Coordinate Health & Safety – risk assessments, signing in sheets, etc.
Finance Support:
It would help if you had an understanding of finance work and Sage Accounting, but training will be given if necessary.
1. Sales invoicing – up to 160 invoices per month both through Sage and manual invoicing
2. Liaise with the Sales Team, keeping them up to date with payments received
3. Check invoices, ensure that confirmations are checked and filed appropriately
4. Chase overdue invoices
5. Covering for sickness and holidays, there will be times that you will be asked to help with:
1. Bank Reconciliation for 3 bank accounts
2. Input Purchase invoices onto Sage
3. Payment of Purchase Ledger invoices
4. Expenses – using SAP Concur
5. Payment of Expenses – using Sage
