37.5 hours per week - 8am-6pm availability required

We are looking for a Client Services Administrator to join our team at our Manor Hospital, who is experienced in a customer service focused environment with excellent communication skills. As a team player you will be able to multitask with attention to detail and be flexible. You will have excellent IT skills with proven knowledge of excel, PowerPoint and word.
The Client Services Administrator will be responsible for effectively and efficiently managing a large volume of patients’ appointments, manage clinic requests and liaise directly with patients, medical secretaries and consultants. The primary responsibility will be to facilitate referrals from Private GP practices to the Manor Hospital. In addition, there will be some involvement in other administrative work
As a Client Services Administrator, you will:
1. Manage information received from patient online bookings and contact centre, ensuring required information is obtained, updated and relevant appointments booked.
2. Be the local consultant enquiry handler, engaging with consultants and supporting queries.
3. Support the Business Development Manager with related tasks when required.
4. To support the Medical Secretaries and Hospital Bookings Teams to ensure that customer requirements/queries are effectively dealt with.
5. Maintain accurate and up to date records of all patient activities in accordance with company processes and procedures and within agreed timescales.
6. To effectively and proactively develop constructive relationships with both internal and external stakeholders.
7. To manage consultant enquiries and promote diary and online access.
8. Ensure the referrer knowledge base is kept up to date and managed effectively.
9. Dispatch incoming communications (reports, emails, telephone calls) to relevant parties to ensure appointments are processed effectively and efficiently and within agreed specified timescales.
10. Liaise with relevant departments to maintain agreed diary access booking space.
11. Train, guide and lead new starters joining the department.
