We\'re currently recruiting a dedicated Workplace Assistant t to help ensure the smooth running of the operations in 14Forty on a part time basis, contracted to 30 hours per week.As a Workplace Assistant, you will use your skills to maintain a high standard of facility management with the wider facilities team. In return, you will have the chance to progress your career with company that invests in its people, celebrates individuality, and rewards and recognises employees who go beyond the plate.Here\'s an idea of what your shift pattern will be:Mon: Full-time (Days)Tues: Full-time (Days)Weds: Full-time (Days)Thurs: Full-time (Days)Fri: Full-time (Days) Your key responsibilities will include:To be polite, professional and friendly with all customers, clients, and colleagues; ensuring the highest level of customer experience.Taking ownership of all situations by demonstrating a can-do attitude towards individual customer or client requests striving to exceeding customer expectations.Act as Fire Marshal and First Aider.Fully understand the meeting room AV infrastructure and equipment, to be first point of contact to resolve technology issues.Work with IT and raise appropriate service tickets to enable higher level faults to be resolved.Have a full understanding of which business groups are onsite and where they are located.Liaise with security and give details of cars being left onsite, or staff staying later.Ensure the Regional Facilities Manager (Client) is fully updated on issues and problems.Refresh Kitchenets at the start of the day and monitor throughout.Set up lunch tables/seating with Menu cards.Contact suppliers for vending machine figures and update the spreadsheet.Co-ordinate meeting room bookings and requirement, collating data on usage.Switchboard duties (Answering calls)Meeting room set-up across site making sure all rooms have the correct equipment and furniture.Check meeting rooms at the end of each day to ensure set up is correct, tidy up meeting rooms, re stock stationary boxes, and supplies.Order and distribute stationery for the office and maintain a formal stationery stocklist.Be part of the TOPdesk fault reporting process, ensuring issues are dealt with promptly.Ensure coffee machines are functional, manage milk, fruit, replenish free issue teas and coffee.Post distribution, collections.Liaise with and report security issues to ISD (security specialist) and client plus raise TOPdesk ticket.Log all maintenance issues in TOPdesk, liaise with contractors then close ticket on completion.Ensure all contractors sign the authority to workbook.Request attendance from business park for various issues within the landlord's domain.Undertake cleaning duties if an issue occurs. Daily Walkaround Fire Exits checks AM only.Post Room and Courier service duties for the office.Mail management – incoming/outgoing post/franking.Send out stationary packs for reps.Liaise with Pitney Bowes in relation to franking machine, equipment and account status.Face to face liaison with all Royal Mail and courier drivers who deliver to the office. EssentialExperience working within a Workplace Customer Service role.An enthusiastic self-motivated individual with a drive & passion for delivering high quality work.Passion for excellent customer serviceUnderstanding of AV equipment and support needsFlexibility and proactivity to changing work patterns and priorities.Excellent organisation, administrative and communication skills.Good IT skills and knowledge of Microsoft Office.Proactive and flexible in approach to customer service.
