Must have previous experience working in a GP practice as an administrator.
We are looking to appoint a part-time medical administrator/receptionist 30 hours per week. Must be able to code medical information onto EMIS, scan using Docman, have knowledge of processing SAR requests, and summarisation of patient records.
You need to be flexible and work morning and afternoon shifts. Working hours are between 8am and 6.30pm Monday to Friday.
Main duties of the job
Candidates must have experience in working in general practice as an administrator. Have excellent communication skills; this role has a lot of contact with patients both face to face and via the telephone. The ability to work under pressure is essential and at a fast pace.
About us
The surgery has 3 GP partners, 2 salaried GPs, 2 Practice Nurses, a Healthcare Assistant, and a team of ARRS staff both on and remote working. We have a team of administration staff supporting the Practice Manager. The surgery is a training practice.
Job responsibilities
1. Opening up/locking-up of practice premises and maintaining security in accordance with Practice protocols.
2. Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
3. Process patients' change of address computer data and medical records (have knowledge of practice area).
4. Processing personal and telephone requests for appointments, visits, and telephone consultations and ensuring callers are directed to the appropriate healthcare professional.
5. Processing and distributing incoming (and outgoing) mail.
6. Registrations of new patients.
7. Processing repeat prescriptions in accordance with practice guidelines.
8. Deal with visits requests.
9. Computer data entry update/data allocation and collation; processing and recording information in accordance with practice procedures.
10. Initiating contact with and responding to requests from patients, other team members, and associated healthcare agencies and providers.
11. Providing clerical assistance to practice staff as required.
12. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
13. Complete general administrative duties as directed and assisting with Quality Outcomes Framework and any other Primary Care network tasks as needed.
14. To ensure repeat medication is issued in line with the protocols that are already in place, and where queries are raised that they are dealt with in the best way.
15. Ensure incoming letters are scanned onto the patient record within timescales and dealt with accordingly using Docman.
16. Code necessary information onto the patient record.
17. Summarisation of medical records.
18. Access and process communications via NHS net.
19. Reviewing medical records and producing an accurate summary of the patients' medical history.
20. Process GDPR requests.
21. Other duties applicable to the post.
