We’re hiring for an Executive Assistant to support the execution of the commercial strategy for the Pensions and Incentives (P&I) businesses presently in UK, Guernsey and Singapore. You will provide administrative and executive support to the Commercial Team to ensure it can maximise its delivery to the P&I businesses.
As Executive Assistant, you will support the production of Response to Tender invitations and the delivery of new business in line with the Commercial Strategy for pensions and incentives.
You will also support the business’s overall strategy while promoting the desired culture and values so that teams work together as one.
Key Accountabilities
* To provide support, as required, to the P&I Commercial Team
* Diary and email management for the P&I Commercial team members, including responding to emails and managing the centralised mailbox
* Manage event and meeting attendance schedule, ensuring all attendance is logged in the centralised P&I calendar, and that Meeting Attendance forms are completed before meetings or events which specify purpose and objectives of the meeting and also actions are documented post meeting
* Write up / document any meetings, when downloads are provided by attendees, ensure the details are available to the wider P&I team
* Manage Gifts and Hospitality schedule from meeting attendance forms
* Support bid process and RFP production
* Schedule all internal and external calls, meetings and book attendance at external events for the P&I Commercial Team
* Book travel and accommodation for P&I Commercial Team, when required
* Manage team expenses, when required

* Previous experience in an EA role
* Effective relationship building
