Summary
This Apprentice will join the Evolve Electrical Team as an Apprentice Administrator. The successful candidate will support Evolve Facility Services by carrying out appointment planning and general administration activities to support service delivery.

Work
As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
This role will inlcude the following responsibilities;
* Utilise Evolve’s IT system to undertake appointment planning, allocating property repair and maintenance works to Evolve Operatives and external contractors, monitoring and updating
records accurately and promptly for works completed.
* Ensure appropriate approval is received for new order requests, where additional works have been identified.
* Liaise with customers, clients and work colleagues, primarily by telephone, to ensure property repairs and maintenance works are planned and carried out as required.
* Create, maintain and store documents in accordance with the approved systems to ensure records can be located efficiently.
* Prepare routine correspondence, including reports, letters and email communication, in an accurate and professional manner.
* Collate and check information, including company reports, for completeness and accuracy, referring issues to the appropriate person in a timely manner.
* Manage enquiries effectively, providing clear and accurate advice or signposting as appropriate, escalating complaints and complex queries via the agreed route.
* Undertake document imaging/scanning and photocopying as required, to ensure copies are available in a timely and accurate manner.
* Fax documents to specified parties as requested.
* Deal with the delivery and franking of post as required, ensuring it is distributed and collected correctly and that issues are promptly resolved.
* Respond flexibly to any necessary changes in work priorities and undertake other duties when required to support the effective operation of the service.
* Contribute to the continuous improvement of processes and procedures.

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
