We are seeking a proactive and versatile Executive Assistant to provide comprehensive support to the Chief Operating Officer (COO) of SCIS Group. This multifaceted role involves managing the COO's administrative tasks, including inbox and diary management, as well as handling internal and external management-related queries. Additionally, the role encompasses office management responsibilities, such as ordering supplies and assisting various teams with administrative tasks. The ideal candidate will possess exceptional organisational skills, attention to detail, and stakeholder management capabilities. Key Responsibilities:
* Manage the COO's inbox and calendar, ensuring efficient prioritisation and scheduling of appointments, meetings, and travel arrangements.
* Handle internal and external management-related queries, serving as a primary point of contact for enquiries and information dissemination.
* Take minutes during board meetings and maintain accurate records of discussions and action items.
* Assist with office management duties, including ordering supplies, coordinating maintenance tasks, and overseeing general office operations.
* Support various teams across the organisation with administrative tasks, demonstrating a willingness to collaborate and contribute to overall efficiency.
* Maintain confidentiality and discretion when handling sensitive information and correspondence.
* Proactively anticipate the needs of the COO and provide timely assistance and support as required.
* Stay abreast of organisational developments and changes, adapting workflows and processes accordingly.
* Collaborate with other members of the administrative team to streamline procedures and optimise productivity.
Qualifications and Skills:
* Previous experience in a similar Executive Assistant or office management role, preferably within a fast-paced environment.
* Strong organisational and time-management skills, with the ability to prioritise tasks effectively and meet deadlines.
* Excellent communication and interpersonal abilities, with a professional demeanor and the capacity to interact confidently with stakeholders at all levels.
* Proficiency in Microsoft Office suite and other relevant software applications.
* High level of accuracy and attention to detail, with a commitment to producing high-quality work.
* Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
* Flexibility and adaptability to navigate changing priorities and business requirements.
* A proactive and solutions-oriented approach to problem-solving.
* Bachelor's degree or equivalent qualification preferred, but not essential.
This position is based at our headquarters in Fareham. The role requires a commitment of 5 days per week during regular office hours, with occasional flexibility to accommodate business needs. Hybrid working will also be considered.
