· Creating new projects, quotes, invoices, purchase orders, adding client and suppliers records in the CRM system.
· Preparing and sending out quotations for the clients.
· Issuing and chasing sales invoices.
· Communicating with manning agents and freelancers for required manpower.
· Arranging international and domestic travel, hotels, visas, issuing guarantee and visa invitation letters.
· Liaising with port agents regarding transfer of personnel and goods to/from the vessels/rigs.
· Liaising with suppliers for purchase/rent of equipment, tools and consumables for the projects. Issuing purchase orders, organising shipping, preparing commercial invoices/packing lists and other required shipping documentation.
· Keeping track of several overseas engineering and consultancy projects at once.
· Filing of project records in order to comply with ISO 9001, 14001, 29001 and 45001 standards.
· Monitoring costs and ensuring all within budgets.
· Checking personnel certificates and training records to ensure that personnel have valid certifications, checking with Group technical coordinator and Technical director.
· Maintaining office and stationary supplies.
· Keeping track of petty cash expenses.
· Checking the personnel expenses.
· Filling in various questionnaires as required..
Requirements
* Degree holder but not necessary.
* Experience in Administrative / Operations positions ( preferably in Marine / Offshore / Marine Oil and Gas, construction or similar background.
* Must have min 2 years experience in similar job.
