Description/Job Summary
The Simpson Thacher REF Partners and Lawyers are at the forefront of legal technology enabling them to deliver their services more efficiently and effectively. This has generated both new work streams and the adaptation of traditional ways of working to incorporate this significantly increased use of technology.
This role, in the REF Legal Technology Team, within REF, will provide crucial support to Real Estate Finance lawyers and their clients.
The role will focus primarily on running REF’s trackers (currently 21 trackers) established to meet client expectations. It is anticipated that a dedicated and focused approach to administering the trackers will lead to greater efficiency and increased client satisfaction. The role will also contribute to the continuous improvement of the data storage and retrieval system (Litera Foundation)
Responsibilities/Duties
* Operating the department’s client and deal database – currently Litera Foundation, (together with paralegals as appropriate)
* Obtaining key deal related data from paralegals and associates and assisting the team with entering the data into databases or similar information storage facilities for the purposes of creating weekly client tracker reports
* Communicating with internal lawyers to ensure data is made available and can be entered promptly, following up as necessary to manage outstanding data entries
* Producing 21 weekly update reports, as varied from time to time
* Circulating client tracker update reports to the internal team and to clients as necessary
* Maintaining data quality by identifying & resolving areas for review and improvement to the Legal Technology colleagues, and assisting them with systems improvement as necessary
* Supporting practice area deal management in accordance with policy & procedures
* Correcting existing deal data where required
* Carrying out regular reviews of related data held in databases or elsewhere in line with agreed policy and procedures
* Carrying out ad-hoc client tracker project administrative tasks as required
* Carrying out other related tasks as directed
Preferred Skills
* Diplomatic with excellent customer care skills
* Able to work well under pressure
* Good knowledge and experience of all aspects of Microsoft Office with database experience an advantage
* Good analytical problem-solving skills and an understanding of computational thinking
* Computer-literate with the ability and motivation to learn new software programmes,
* Strong organizational skills with a flexible and proactive approach
* Strong attention to detail
* Able to interact effectively with diverse colleagues including Partners, Vendors, Associates, Paralegals, Document Specialists, Secretarial Team and Technology Specialists both in the UK and the US.
* Strong written and verbal English language skills
* Able to present information clearly and concisely
