Salford Pride are looking for a volunteer People Assistant to support our Board of Trustees with the creation of documentation for each meeting, help keep documentation and policies on record up to date, produce new documentation and policies, if needed, and deal with any email correspondence that comes through to Salford Pride. Support the Board with the recruitment process to fill new roles, lead on internal communication and volunteer engagement, and ensure that our organisation and our projects are inclusive for all and benefit the community we serve. The role will require the candidate to be able to commit 4-6 hours a week to the charity and attend one in-person and one online meeting a month.
Responsibilities and Duties:
1. Support with the organisation of documentation for meetings, ensuring the agenda for each meeting has been produced, the meeting venue has been booked and minutes of the meetings are recorded and uploaded to the Notion workspace;
2. Record decisions made by the team otherwise than in meetings and distribute these to all team members, holding a copy on record;
3. Oversee the communications between the volunteers and trustees;
4. Oversee volunteer engagement, by conducting regular volunteer engagement surveys, compiling feedback from volunteers to produce reports for the senior team and the board of trustees;
5. Support the trustees with internal communications and the writing and implementing of new policies and plans;
6. Create and amend documentation and policies, if requested by the board of trustees;
7. Keep a copy of all documents on Notion and make these available as and when requested;
8. Oversee the recruitment of new volunteers under the advisement of the board of trustees, ensuring that the onboarding process is followed;
9. Look for and implement opportunities to improve and develop the administrative operation of the team and act as facilitator for organisational improvements or changes requested by the team or the board of trustees;
10. Ensure that onboarding and off boarding processes are followed, and our organisation is adhering to data protection and GDPR laws;
11. Deliver training to new volunteers as part of the Salford Pride onboarding process;
12. Follow off boarding processes when a volunteer leaves to gain feedback to issue a report to the board of trustees for improvements;
13. Keep a confidential updated copy of the names and contact details of all team members, including emergency contacts;
14. Ensure that Salford Pride and our projects are inclusive for all and benefit the community we serve, ensuring that our recruitment process, documentation and team are inclusive and reflect the wider LGBT+ community;
15. Work with the marketing team to ensure their areas of responsibility are suitably represented on the website and to liaise with the team about content.
