Job Title: Pod Café Project Lead
Reports to: Head of Operations

Contracted Hours: 14 hours a week
Contract: Temporary (initial 6 month pilot with a view to extend if successful)
Hourly Rate £24,500 per annum (pro rata 14hrs per week/6 month contract)
Pod Café is a welcoming and inclusive café space located within WHALE Arts in Wester Hailes. We have been open one day a week on Tuesdays, serving a simple, homemade vegetarian menu. The aim of the café is to be a net zero, social enterprise arm of WHALE Arts, providing income generation and social impact. It is currently in the early stages and this next 6-month period is designed to give time to experiment and find ways to develop and grow. We have a community garden, allotment and access to re-distributed surplus food which could all be utilised for café use.
Role Purpose:
The purpose of this role is to manage and operate the Pod Café including cooking and menu preparation, developing and experimenting with ideas to drive income generation. Maximising social impact so that the Pod Café can thrive long term in the community.
Main Duties:
* To manage café operations including cooking and creating a weekly menu, preparing and serving food and hot drinks, managing inventory and stock and ordering supplies.
* To comply with Health and Safety procedures ensuring the kitchen and café areas are clean and safe with records kept up to date.
* To manage the Pod Café finances, including float management, cashing up, inputting data into spreadsheets to keep accurate records of revenue and expenses and track income.
* To support and develop catering opportunities to further support income generation allowing for the café to stay open.
* To schedule and monitor cleaning, repairs and maintenance of café equipment.
* To develop and nurture relationships with customers, suppliers and partners.
* To work with the team to generate marketing and social media ideas to promote the Pod Café.
* To work with Head of Operations and Business Development Lead to generate exciting ideas and identify opportunities for the Pod Café to develop in both income generation and social impact elements.
* To provide training and ongoing support for café volunteers.
Scope of the Job
* Lead and contribute to conversations and plans around phase 2 café and possible extension
Finance
* Menu planning and costing
* Coordinate purchasing contracts
* Process invoices
* Purchasing of ingredients, managing a stock take with support from Community Chef
* Cashing up at EOD and manage card processing systems
* Input income and expenditure figures for finance reporting and budget monitoring
Fundraising & Income Generation
* Contribute to reports for funders where café funding has been granted
* Contribute ideas and lead on funding applications
* Work with Business Development Lead on new and exciting income generating ideas
People Management – Staff, Freelancers, Volunteer
* Work closely with the volunteer coordinator to recruit, induct and support new café volunteers
* Identifying training requirements and opportunities for staff and volunteers
* Creating volunteer rotas for the café
* Provide figures to volunteer coordinator for monitoring the project (e.g. volunteer hours, any other relevant data to monitor the project)
Data, Evaluation, Reporting
* Create records for data such as number of people visiting, menu sales, catering figures etc for annual reporting and reporting to funders
* Use data to develop and improve the café (e.g. food donations used, meals cooked, feedback from community)
Facilities
* Working with operations staff to agree and make changes required to set up a waste management contracts
* Ongoing contact required with environmental health
* Adhere fully to CookSafe guidelines using HACCP based procedures
* Implement, update and manage CookSafe guidelines for café in line with existing policies
* Ensuring that food hygiene and other training for staff and volunteers are up to date
Projects & Programming
* Work with the Head of Operations and Business Development Lead on one off activities or events and linking in with WHALE Arts programmes
Marketing and Communications
* Providing content and marketing information for newsletters, website and socials
* Local communications and working with other local food projects to coordinate communications and collaborative events when time allows
* Engage wider community and build community relationships through marketing and promotion
Community and Network Development, Regeneration and Placemaking
* Involve the local community in the evolution of the café, encouraging feedback and suggestions to ensure the café can provide the space that the community wants
Other Duties
* To be a key holder, opening and securing the building out of office hours when required.
* To help with reception cover over lunchtimes and occasionally ad-hoc to support the team when required.
* To comply with relevant WHALE Arts Agency policies.
* To undertake any relevant training in relation to the post.

Person Specification
Essential
* Catering and hospitality experience
* Passionate about nutritious, sustainable food and able to communicate this
* Experience/knowledge of vegetarian cooking
* Has excellent communication skills and can interact with and support individuals from a range of backgrounds
* Able to work on own initiative and to work with others collectively
* Good organisational, planning skills and keen attention to detail
* Effective time management
* Good team working skills and can think expansively and identify opportunities
* Multi-tasking, adaptable, ‘can do’ approach
* Ability to work in a calm and organised manner
* Is enthusiastic and excited about the Pod Café and what it could become
* Interest in the wider mission and objectives of WHALE Arts
Desirable
* Barista experience
* Current Food Hygiene Certificate
* Understanding of environmental and sustainability issues, especially around food
* Knowledge of and passion for nutrition and plant-based cooking
* Experience of working on a similar project before
* Experience or knowledge of working at similar organisations in the community and charity sector either local or national
