NEW OPPORTUNITY FOR A SCHOOL HR OFFICER
Vida Education are currently looking for a HR Officer for a fantastic school in the Kendal area in Cumbria. This is a temporary role covering maternity. Term Time - 7:30am - 12:30pm Start date: 21/04/2025 End date: 19/12/2025 Experience as a HR Manager/Administrator within a school is desirable. Relationships 1. Reporting to: The post holder reports to the Chief Finance Officer (CFO) – all aspects of HR The postholder reports to the Senior Assistant Headteacher – cover 2. Responsible for: The post-holder interacts with other professional colleagues, students and parents and should establish and maintain productive relationships and promote mutual understanding of our aim to improve the quality of the student experience at school Purposes of the Post
1. To be responsible to the CFO for the maintenance and operation of the absence monitoring including all back to work and wellbeing meetings.
2. In conjunction with the HR officer, ensure that staff record files are accurately kept up to date.
3. To be responsible to the Senior Assistant Headteacher for the management of the school’s cover on a daily basis and ensure high quality provision for students in the event of teaching staff absence.
Essential personal qualities and skills
* Excellent organisational and ICT skills – SIMs, Word Processor and Excel
* Excellent interpersonal skills including the ability to liaise with staff and external organisations
* A secure understanding of the essential business needs of the school
Main Responsibilities
* To monitor the reporting system for absences of teaching staff on a daily basis and the diary of events, planning cover in advance wherever possible, to ensure sufficient cover is enlisted.
* To organise cover for absent teaching staff using SIMs, utilising school staff in the first instance and supply staff when necessary.
* To liaise with absent staff on a daily basis to ensure advanced planning where possible.
* To organise cover for absent teaching assistants, utilising cover supervisors where possible, or going out to external agencies.
* To record all known absence requests and absences on SIMS
* To liaise with external recruitment agencies to engage qualified supply staff to cover absences and temporary vacancies.
* To complete inductions for any staff through agencies on their first day and introduce our systems to ensure they are confident in going into the classroom.
* To provide all the necessary timetable and lesson information for supply and cover teachers to undertake their duties effectively.
* To maintain the administration of all absence requests and liaise with relevant senior leaders over the granting of planned absence.
* Create and complete timesheets for any internal staff providing cover
* To record where staff have signed up to wellbeing day and keep this accurate and up to date.
* Keep an accurate record of staff currently booked in from supply agencies on a monthly spreadsheet
* Ensure an order for each supply agency is put in at the start of the month with the procurement officer.
* To administer any room changes that are required.
* Liaise with staff over exams for specialist cover and room changes required. HR Administration
* To complete a back to work form when a member of staff calls in sick
* When the absent member of staff returns set up a back to work meeting with them to complete the form and ensure they are fit to be back in work
* Where necessary, liaise with the CFO and external HR provider to set up wellbeing meetings
* To complete outcome letters to member of staff attending wellbeing meetings, send to the staff member and put on their staff file.
* File any paperwork required in personnel files.
* Complete staff turnover spreadsheet on a monthly basis.
* Complete absence monitoring spreadsheet on a monthly basis.
