Providing HR support, guidance and advice to colleagues and Operational Managers. Coaching Operational Managers in holding meeting with colleagues: e.g., Disciplinary, Grievance, absence, performance, etc. Support in ER meetings as required. Issuing relevant ER letters for employees Advise senior leadership on the strategies to protect and drive business results. Hold regular 1-2-1s to support the management team to deliver their role. Support & review polices against current best practices & case law. Manage LTS colleagues with the relevant referrals of Welfare Meetings / Occupational Health. Conduct and oversee the day-to-day operations with HR company policies. Support and manage TUPE as required by the business. Reporting on relevant HR KPIs for ER, reports and presentations to the board and the European team. Compliance: Supporting with HR compliance in Eligibility to Work documentation. Maintaining accurate employee’s records, files, and spreadsheets in line with data protection legislation. Ensure that trackers are in place and updated to support the HR compliance objective. Ensuring that GDPR regulations are being complied with and deal with any data access requests as necessary. Adherence to the Rhenus Corporate Compliance values. Agency recruitment (ad-hoc): Oversee all on-site agency recruitment, with the support of a HR Recruitment & Engagement Co-Ordinator. Act as the escalation point for any queries from agency and the operations team. Responsible for the onsite temporary labour provision Working closely with Operations and planning teams to ensure that we have sufficient resource to fulfil customer demands and maintaining clear communication with operations and agency providers. Planning agency inductions with the relevant H&S representative. Ensuring that internal customers are updated in relation to agency providers – e.g., accounts with charge rates/ planning with names. Ensuring each department has sufficient temporary labour to fulfil demand. Liaising with Operations to discuss any issues with temporary labour on a daily basis. Liaise with temporary agency providers and HR team regarding on-boarding agency personnel when appropriate. Recruitment: Support with the full end to end recruitment cycle across all functions. Support with colleague’s recruitment, Internal & external. Completing on-boarding meetings with candidates. Support with new starters welcome pack, contracts & offer letters. Deliver the company’s standards for HR Inductions, training & development to set colleagues up for their success in their functional role, including planning in key stakeholder’s calendars. Support with the HR induction process. Take ownership of the Rhenus WS Lutterworth recruitment strategy Payroll: Support with the implementation and completion of the Payroll Strategy Support with the completion of the monthly payroll process. Key admin of the Equator (K3 Syspro) system Support with ensuring that data is accurate for employees to get paid correctly and on time, including monitoring clock actions for employees. Support with monthly payroll queries as required. Support for weekly payroll as and when required. Oversee the weekly payroll process, with the support of a HR & Payroll Officer Learning & Development: Identify training needs within the different functions and support the HR Director with the delivery of Training. Deliver the company’s standards for HR Inductions, learning & development to set colleagues up for their success in their functional role. Working with colleagues to help them achieve promotion through internal development programme. Support with the apprenticeship programme for all on-site apprentices Support with the Rhenus Training Academy programme/ Leadership Programmes. Support with the e-learning plan for all colleagues. Support with the Diversity & Inclusion Strategy. Support with relevant Health & Safety training as required. Support with the integration: Rhenus values, whistleblowing line, etc. Support with management of third-party/external relationships Support with the Rhenus WS Lutterworth Training strategy Employee Engagement: Responsible for the Charity & Event calendar with the support of HR Recruitment & Engagement Co-Ordinator. With the support of the HR team, oversee all fundraising, team building and employee engagement activities on site, including seasonal activities. Oversee charity & events meeting, completing any relevant actions. Support the HR team with completing employee engagement surveys, as required. Liaise with external providers where applicable, for example: gym membership, Employee Assistance Programme. Support with ad-hoc employee engagement activities throughout the year such as ‘pizza days’ Deliver reward & recognition to motivate colleagues, while adhering to agreed framework & consistency. Management of the staff shop. Champion for the Rhenus Values. Implementation and lead on the Rhenus WS Lutterworth Engagement & Culture Strategy Support with the Employee of the month process – start to finish with the relevant months. Support with for HR notice boards/ toilet boards. Updating information across all sites Support with the employee birthday engagement process. Reporting: Responsible for the monthly board report with the support of the HR Officer Support with European KPIs information Achievement of the HR KPIs Ad-hoc analysis and HR Issues documentation. Manage bonus incentives through implementation of trackers. Project Work: Support with ad-hoc HR projects when required, with the direction of the HR Director European HR projects, as and when required. Delivery of Workday Plan to the wider business. Team/ Office Management: Oversee workload within the HR team and distribute as appropriate. Complete regular 1-2-1 meetings with team members Support to the team to ensure that workload for the HR function is concluded. General Administration Duties What You Bring: A minimum of 3 years’ experience in a generalist HR role within Distribution / Logistics CIPD Qualified – Level 7 or Level 5 Full driving Licence Experience in managing a high volume of ER cases. IT skills, including Advanced Microsoft / Excel / PowerPoint The ability to work under pressure to meet tight deadlines. Immigration/ Eligibility to Work processes.
