Administrative Assistant Position Summary: Colonna’s Shipyard is seeking an experienced Administrative Assistant to join our Shipyard division at Colonna's Shipyard in Norfolk, VA. The successful candidate will be well organized, detail-oriented and have exceptional abilities to execute a wide variety of administrative tasks critical to the overall success of business operations. A successful candidate will demonstrate proven business acumen, ability to handle multiple projects with competing deadlines, and solid prioritization to manage the needs of the division. This full-time, onsite position may require occasional flexibility in working hours as well as hours beyond a standard workweek to accommodate business needs. Essential Duties & Responsibilities: Key responsibilities include: Serve as a welcoming introduction to Colonna’s Shipyard, providing only the best service experience to our employees, customers, and visitors. May serve as initial point of contact for internal and external inquiries related to Shipyard operations. Support leadership’s calendar needs, coordinate appointments, deconflict schedules, as well as oversight of the overall division schedule. May also support various leaders, as needed, with inbox and communications management. Various administrative tasking, functional support, and collaboration with various teams to improve operational efficiency of the division. Design and make continuous improvements through administrative and process excellence, utilization of technology (such as Sharepoint), etc. Gather/collect/record/track/verify data from multiple resources, prepare detailed reports and presentations to support various departmental initiatives. Specifically includes maintenance and reporting on various personnel/manpower data and support of manpower dashboards for improved labor forecasting. Regularly and effectively communicate with trades personnel, supervision/management, and program office on various departmental needs, in-process and outstanding personnel actions, etc. General administrative duties will include: Perform general administrative tasks such as data entry, filing, scheduling, supply orders, travel prep, etc. to support the department’s clerical needs. Serve as liaison to other service/support departments (HR, Finance, Procurement, etc.) on various business matters. Effectively promote and support various Company and Division programs/projects. Monitor and maintain various inventories, ensuring adequate supplies and resources are available. Prepare and process expense reports, credit card reconciliations, and support division’s budget monitoring. Organize, coordinate, and execute various meetings & functions (both on and off site). Oversee set-up and breakdown, including room coordination, calendar updates, meal ordering, and interface with outside vendors when required. Arrange travel itineraries, accommodations, and logistics for travel. All other duties as assigned. Required Qualifications: Must have High School Diploma (or equivalent) with at least 5 years of experience in administrative roles - preferably in a shipyard, manufacturing, or an industrial environment and supporting senior management/leadership. Candidate must have excellent written and oral communication skills with internal and external stakeholders at all levels, commitment to process excellence, with strong organizational, detail-orientated, problem-solving, and analytical skills. Candidate must possess the ability to manage priorities and workflow versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm. Candidate must have demonstrated proficiency in Microsoft Office programs (i.e. Outlook; Word; Excel; Power Point). Experience with various software/programs relative to the functional area, to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. Must be able to handle confidential information with discretion. Preferred Qualifications: Bachelor’s degree in Business Administration or position-relevant field highly preferred. Travel Requirements: Minimal Travel; 10% or less. Physical Requirements: Remaining in a stationary position, often standing, or sitting for prolonged periods. Must be physically agile to perform tasks in naval ships. Able to work on and climb ladders, work in extreme temperature environments, aboard ships, in shipyards, under industrial conditions and in confined spaces, including enter and moving through manholes. While performing the duties of this job, you may frequently be required to stand, walk & sit; use hands or fingers; handle or feel; talk and hear. Occasionally required to reach with hands and arms, climb and balance, stoop, squat, kneel, twist and crawl. Able to sit and work on a computer for long periods of time. Moving about accomplishing tasks or moving from one worksite to another. Communicating with others to exchange information. Light work that includes moving objects up to 20 pounds.
