As a Personal Assistant to a Chief officer, working in a fast paced and pressurised environment, you will co-ordinate and provide a comprehensive service to the Chief Officer Team. You will be expected to produce quality, timely products and support an innovative Chief Officer Team in maintaining partnerships with stakeholders as well as keeping abreast of the force’s goals whilst maintaining the forces strategic objectives.
Main Responsibilities:
1. Manage a complex diary, prioritising meetings according to importance and urgency, ensuring all required supporting documents and papers are available in advance.
2. Manage travel arrangements for the Chief Officers, including booking travel, hotels, conferences, and supporting Chief Officers with financial matters.
3. Provide support for key strategic meetings, including production and distribution of agendas and papers, taking, and circulating minutes.
4. Meet regularly with the Chief Officer to ensure they are fully informed of ongoing matters.
5. Research and analyse information to provide comprehensive briefings to Chief Officers.
6. Prioritise, re-route, draft, and respond to correspondence and enquiries on behalf of Chief Officers.
7. Provide effective communication with internal and external contacts, ensuring positive contributions to the Chief Officer’s reputation.
8. Coordinate arrangements for Force level events.
9. Act as the Single Point of Contact for all internal and external visitors.
10. Build and sustain effective relationships with external contacts.
11. Ensure suitable provision of cover for fellow PA’s during periods of absence.
12. Ensure any contact with media is recorded and submitted for publication.
13. Capture data surrounding staff leaving the organisation for exit interviews.
14. Compile Chief Officer on call rotas.
15. Undertake other duties commensurate with the nature, level of responsibility and grading of this post.
Knowledge:
1. 5 A–C grade GCSEs (or equivalent) including English and Maths.
2. Formal typing qualification.
Experience:
1. Substantial experience in providing PA/administrative support at an Executive or Senior Management level.
Key Skills:
1. Excellent word processing skills.
2. Competent in the use of IT packages including Microsoft 365.
3. Ability to work unsupervised on own initiative to tight deadlines.
4. Ability to research and analyse large volumes of information.
5. Ability to deal tactfully and appropriately with people at all levels.
6. Proven track record as an effective team player.
7. Ability to deal with confidential matters with discretion and integrity.
