RESPONSIBILITIES
Your primary responsibilities will include (though will not be limited to):
OPERATIONS & BUILDING
1. Support the team in delivering operational excellence within the centre.
2. Assist with the daily opening and closing of the centre.
3. Provide a warm and professional "Wizu Welcome" to all clients, members, and visitors.
4. Ensure all visitors sign in and out of the centre.
5. Replenish communal kitchen facilities and maintain stock throughout the centre.
6. Handle phone and email enquiries promptly and efficiently.
7. Manage keys and fobs, including setup, replacements, and charges.
8. Perform reception duties and assist with diary management.
9. Conduct proactive daily spot checks and floor walks to maintain centre standards and ensure compliance.
10. Manage post, parcels, couriers, and deliveries.
11. Support monthly excellence audits and complete follow-up tasks as needed.
12. Adhere to Wizu policies, procedures, and processes, ensuring all relevant checklists and documents are accurate and up to date.
MEMBERS
1. Maintain accurate and current membership records.
2. Serve as the first point of contact for client/member queries and issues.
3. Deliver consistent, excellent service to clients and members and capture feedback.
4. Update and promote the Wizu member portal.
5. Assist with planning member events to help build the Wizu community and connect members.
6. Ensure all meeting room bookings and events are of the highest standard.
7. Onboard new co-working members in the absence of the Community Associate.
TEAM
1. Support the training and onboarding of new team members when needed.
2. Be prepared to take on the responsibilities of the Community Associate in their absence.
YOUR BUILDING
1. Assist in overseeing basic centre maintenance and compliance, including health and safety checks, fire regulations, and audits.
2. Help to prepare and manage third-party contractor work lists.
3. Liaise with contractors and suppliers on-site when required.
4. Address building requests submitted through the portal or directly as needed.
5. Gain a comprehensive understanding of building specifics, including layout and compliance details.
6. Submit relevant facilities requests to the Site Services team.
SALES AND FINANCE
1. Ensure the centre is always "show ready," with at least four vacant offices ready to present where possible.
2. Conduct sales tours and co-working taster days in the absence of the Community Associate or Community Manager.
3. Provide prompt feedback to the sales team directly and via the CRM after all sales tours.
4. Handle the administrative aspects of virtual office sign-ups for your centre.
5. Add one-off charges to client/member accounts (e.g., replacement fobs/keys, postage, printing, parking).
6. Manage due diligence for member move-ins and move-outs.
7. Follow the debt process diligently.
8. Keep all systems updated accurately and efficiently.
STAKEHOLDERS
Possible daily contacts will include but not be limited to:
1. Members and their clients
2. Contractors
3. Colleagues including and up to director level
4. Landlords
5. Brokers/agents
6. Dogs
SKILLS AND REQUIREMENTS
The successful candidate must have/be:
1. Flex industry or hospitality experience is preferable but not essential
2. Microsoft Office knowledge essential
3. Knowledge of CRM systems would be advantageous but is not essential
4. Presentable and confident in representing the brand at all times
5. Show enthusiasm and a positive approach to all areas of work
6. Excellent written and communication skills
7. A passion for dealing with people - whether that be clients or your team
8. Work to a high standard in a fast-paced environment
9. A positive 'can do' attitude with a willingness to learn
10. Thrives under pressure and enjoys working in a team environment but is also highly motivated and works well alone

JOB DETAILS
Working hours = Full time, 8:30-17:30, Monday-Friday
Salary = £24,000 PA
Location = Wizu Workspace, 32 Eyre Street, Sheffield, S1 4QZ
Start date = February 2025
Reporting to = Allocated Community Manager
