Due to continued successful growth, we have an excellent opportunity to join our Fortem team working permanently with our team contracted to Orbit Housing as a Branch Support Manager based in Stratford Upon Avon.
This is a key role and forms part of the (SMT) Senior Management Team. You are responsible for ensuring all key functions are supported and completed, these are: Payroll collection and data submission, Fleet management and data collection, Supporting our central HR functions where required, Supporting other SMT members and the General Manager in day-to-day operations and strategic decision making, Monitoring and reporting of KPI data and ensuring customer queries/complaints are answered within agreed timescales.
The Customer
Fortem’s contract with Orbit Housing covers over 17,000 properties across Stratford-upon-Avon, Leamington Spa, Coventry, Nuneaton, Northampton, Milton Keynes and Bedford. We have multiple workstreams, including Repairs & Maintenance, Voids, Capital Works and Re-Roofing. Duties and Responsibilities
1. Ensure employment engagement is represented across all teams at branch level along with taking the lead on nominations, meeting set up, minute taking, ensuring key policies are reviewed and queries are championed to central services. This also includes ensuring the key behaviours and culture are being represented as part of day-to-day operations.
2. Liaise closely with operational leads, General Manager and commercial leads to ensure all key branch meetings are supported, minute taking, agenda planning and collating/monitoring key actions. This will also involve monitoring key actions monthly from internal and external audits at key SMT team meetings and supporting managers in completing their action plans.
3. Work with SMT members to review existing working practices to demonstrate value for money in their perspective service areas along with gaining improvements. Contribute at financial account meetings to ensure SMT are aware of any potential policy changes or training requirements that could impact our budgets or financial forecast.
4. Lead and manage training for all staff with support from the SMT team to ensure productivity of our trades is managed in line with contract requirements across the branch. This also involves producing a training matrix and financial plan to manage our budget commitment and downtime of our trade teams and support staff.
5. Support the SMT team in making sure teams are demonstrating the right values, culture, and behaviours. This also includes producing a reward and recognition monthly programme.
6. Lead and continue to develop the engagement of staff at the monthly staff engagement meeting. Ensure that this meeting is represented by a key member from each team within branch along with taking ownership of initiatives to increase engagement. This will also involve working with our Central HR team on engagement surveys.
7. Manage feedback from employee forums with both staff and trades and share with the SMT team to improve operational performance and staff morale. This will also include monitoring changes to ensure the SMT are fully aware of the impact.
8. Review and collate IT issues at branch level and share findings with the SMT team to reduce any negative operational impact on the business, establish and support our central IT team with changes to the systems/improvements that may affect the branch.
9. Lead in fleet management of the branch, working with our fleet provider to ensure all Servicing and MOTs are completed in time, ensuring fleet handover process is completed each time a vehicle is handed to new or existing staff by a member of the Branch Support team. Ensure any fleet damage that has been identified is progressed through our internal processes and a successful outcome is managed by our fleet supplier.
10. Monitor all key KPI’s in line with our contract requirements and produce monthly reports on performance to share with the SMT team at key meetings. This will also include reviewing and monitoring key performance indicators at branch level i.e. driver performance, team/operative performance, monitoring sickness and leave levels.
