Training courses as required. Job Objectives & Responsibilities: To work as part of a team, responsible for the day-to-day reactive function of the helpdesk and population of the CAFM System. Working on various high-profile contracts. Ensure all statutory, mandatory, and routine work order records are current and up-to-date. Liaise with the client and their representatives to ensure their maintenance needs are met. Liaise with the client, their representatives, site supervisors, and subcontractors regarding site attendance. Compilation of quotations and the issue of purchase orders to third-party suppliers. Undertake appropriate training for Helpdesk personnel. Timely completion of all required tasks. To ensure full adherence to the MITIE Health and Safety policies and procedures. To ensure compliance with the MITIE Quality Management System as appropriate to this position. To adhere to all policies & procedures detailed in the MITIE employee handbook and rules for the working environment. Main Duties: 1. Collation of all information and documentation relating to the safe operation of hard services associated within all sites across the client's estate, including all estate maintenance and reactive work records. 2. Ensure that all tasks are completed and records are uploaded to the CAFM system for ease of reference by both the client and other MITIE staff. 3. Accurate and timely reporting on all helpdesk responsibilities. 4. Accurate record-keeping and reporting of all maintenance records through the CAFM system within contract-defined timeframes. 5. Identification, as reported, of any mechanical, electrical, or fabric issues or faults that will have a detrimental effect on the building environment & will require action by the maintenance team. 6. Communication & liaison with specialist subcontractors on scheduled service activities when required. 7. Follow MITIE policies and procedures for quality, health & safety, and the environment. 8. Communicate with management immediately regarding any H&S-related issues associated with the contract. 9. Request quotations; raise PO's for approval. 10. Arrange contractor visits and manage the PPM planner. 11. Assist with report preparation and financial control of the contract.
