The Team:
The People & Development (P&D) team is a small yet mighty team where we empower and support our people to succeed by supporting them to have rewarding and varied careers with us. The P&D are central to delivering the firm's people strategy and comprises of four core pillars: HR, Talent, Learning & Development and Belonging & Inclusion.
The Role
We are looking for a P&D Coordinator to join our People & Development Team. This role will sit across many streams of the HR function including talent, benefits and our new starter/leaver processes. We’re looking for someone who has strong attention to detail, thrives in a fast-paced & ever-changing environment and has a passion for all things HR & Talent. We’d love to find someone who is keen to suggest ideas, put their own stamp on the role, and be part of a collaborative team. You’ll be comfortable taking ownership of employee related processes and the associated administration, while building strong relationships with others within the agency. You will be part of a small and dynamic team who are dedicated to providing an exceptional employee experience at freuds.
Responsibilities
General
* Responsible for day-to-day team administration and support
* Respond promptly and accurately to daily HR queries that come into the People & Development Team (flagging queries when needed)
* Develop a thorough understanding of PeopleHR in order to keep the system up to date at all times
* Assist with the administration of the appraisal process
* Ensure all systems are up to date with employee records
* Collect and provide information for weekly newsletters
* Assist with senior holiday management
* Maintain monthly staff lists
* Provide reports for the Resourcing and Finance team
* Support on P&D & Talent projects such as our annual intern scheme and work experience programme
* Support ad hoc operational reporting as needed
Benefits
* Responsible for disseminating payslips across The Group
* Coordinate all benefit updates including those for new starters, leavers and following probation periods (with the Senior P&D Advisor)
New Starters/Leavers/Induction
* Prepare new starter documentation including offer letters and contracts for permanent, fixed term contract employees and freelancers
* Liaise with relevant departments to set up new starters
* Ensure new employee records are created on PeopleHR
* Work alongside the Head of Talent Acquisition and the Senior P&D Advisor to coordinate the on boarding of new starters
* Organise new starter induction programmes
* Create new starter induction packs
* Complete reference and right to work checks for new starters
* Maintain the Starter and Leaver Tracker and team diary reminders
* Ensure all new starter and leaver paperwork are received and filed correctly and that personnel files are up to date
* Be on top of probation by regularly checking in with line managers, flagging any issues to the P&D Advisor and preparing all paperwork in conjunction with the Senior P&D Advisor
Talent
* Be keen to develop some understanding of the PR industry
* Assist with the coordination of interviews during busy times
* Research key competitors and top industry talent
Experience
* Experience in an HR administration-based role (or a role of a similar nature), within a fast-paced environment
* Experience of payroll administration and processing (not essential but benefical)
* PeopleHR experience or working knowledge of HR systems would be extremely beneficial
* Be used to working with a range of internal and external stakeholders
Skills
