About the role The planning & Resource Team is responsible for the proactive and reactive completion of engineer bookings, to repair meter faults. Reporting to the Planning & Resource Team Leader, a Technical Planning & Resource Administrator will ensure all administrative and clerical tasks are performed with accuracy and on time for the Client Service Team. Duties include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Key Responsibilities Make customer appointments and engineer bookings for snags, retrofits, reactive and proactive maintenance. Effective planning of engineer resource across the following areas, commissioning works, snags, retrofits, reactive and proactive maintenance. Complete proactive checks for priority schemes as directed. Complete administrative and clerical tasks for the support team on a day-to-day basis, with accuracy and in a timely fashion. Data input across various platforms. Write and distribute professional email correspondence to internal teams, clients and customers. Maintain contact lists. Supporting engineers and customer service with technical support. Specific responsibilities include: To arrange appointments with individual residents, via telephone, email and written communications. Track and communicate site visit outcomes with clients. Communicate effectively with the field operational team, the Head of Maintenance, Head of Installations, Head of Client Services, and the Client Account Managers (CAMs) to ensure appointment dates and times are met. Qualifications and Experience Proven experience as an office administrative assistant. Experience of planning and scheduling a distinct advantage. Proficiency in MS Office. Specifically operating at a minimum level of intermediate Excel skills, and comfortable using Outlook and Word. Excellent time management skills and the ability to prioritise work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational skills with the ability to multi-task. Ability to maintain focus and organisation when working under pressure. Key Competencies & Skills Able to work well under pressure. Self-motivated and enthusiastic. Able to work with limited managerial input. Someone who exceeds people’s expectations on a regular basis. A stickler for accuracy. Work Location, Hours & Travel Based in Peterborough (Stuart House, St John’s Street, Peterborough) This is a full-time position - 37.5 hours per week – Monday to Friday 09:00 – 17:30, with a 30-minute lunch break & two 15-minute breaks during each working day. Benefits Up to £24,000 (gross) per annum depending on skills & experience. 20 days holiday per year English bank/public holidays.
