Family Law – Team Assistant
Our client is a forward-thinking legal practice with a dynamic and regarded Family Law team They pride themselves on delivering exceptional client care and achieving the best outcomes for our clients. They are now looking for a skilled and proactive individual to join the department as a Family Law Team Assistant.
The Role:
As a Family Law Team Assistant, you will play a pivotal role in the smooth operation of the Family Law department. You will work closely with solicitors, clients, and third parties to ensure efficient case management and administrative support.
Key Responsibilities:
* Diary Management: Liaise with all team members to ensure efficient scheduling and management of diaries.
* Client Support: Meet with clients to assist in preparing documents, such as Form E financial statements, collating and scheduling necessary documents, and making amendments as needed.
* Client Enquiries: Ensure new enquiries are handled promptly and professionally.
* Court Management: Diarize and action family court hearings and directions in a timely manner.
* Communication: Liaise with clients, Counsel, the Court, and third parties via email, telephone, and in person.
* Billing & Credit Control: Prepare bills for approval, send to clients, handle initial credit control, and resolve queries related to fees in consultation with fee earners.
* Funds Management: Ensure funds are received on account for Counsel’s fees and disbursements, and arrange payment of invoices accordingly.
* Court Portal Monitoring: Update case statuses, including approvals, sealed orders, and notices of hearing.
* Document Preparation: Prepare hearing bundles and ensure compliance with Practice Direction rules. Draft cost statements (Form H, Form H1, N260) for hearings and file/serve them per court directions.
* File Management: Set up files in Proclaim and complete compliance checks.
* Administrative Support: Handle BigHand dictations, prepare standard client letters, organise department meetings, and take minutes.
* General Administration: Provide additional administrative support to the department as required.
About You:
* Strong organisational and time-management skills.
* Excellent attention to detail and ability to work to deadlines.
* Confident communicator, comfortable liaising with clients and professionals.
* Proficient in IT systems, including case management software (e.g., Proclaim).
* Knowledge of Family Law and court procedures is desirable but not essential.
* Proactive, adaptable, and committed to delivering excellent service.
