TPF Recruitment is pleased to be recruiting on behalf of a well-established independent practice seeking an Administrator to support their growing team. This is a fantastic opportunity to join a dynamic firm and play a key role in office administration, practice management, and executive support.
Key Responsibilities
Office Administration & Management
* Handle, distribute, and scan incoming post
* Manage distribution and coordination of outgoing post
* Maintain office supplies, including stationery
* Oversee storage and archiving of records
* Manage team diary, meetings, and social events
* Book and coordinate meeting rooms
* Periodically contribute to blog writing for the website and social media content
* Coordinate regular AML (Anti-Money Laundering) training for the team
Supplier Relationship Management
* Maintain and manage relationships with key suppliers, including:
o Office space providers
o Software vendors (IRIS, Xero, MinuteDock, Croner i)
o Technology providers
o Insurance brokers
o Credit reporting agencies
o Professional regulatory bodies (ICO, ICAEW, ACCA)
o Training providers
o Event venues
o Legal advisors
o Storage facilities
o LinkedIn support services
Practice Management Support
* Generate and provide time analysis reports (weekly, monthly & quarterly)
* Prepare workflow reports
* Analyse time records and fee data
* Support client onboarding, including engagement letters, KYC, and AML checks
* Monthly reporting on AML, reviews, and risk assessments through IRIS Elements
* Maintain and update the company website
* Distribute newsletters and fact sheets to the firm’s network
PA Support to Directors
* Manage emails and diaries
* Process and track expenses
* Conduct credit card analysis
Ad-Hoc Support
* Provide backup support in:
o Payroll processing
o Bookkeeping
o Credit control
o Client communications and information gathering
o Holiday records management
