The Assistant Transport Manager reports directly to the Transport Manager, assisting with daily management of the operation. The delegated responsibilities are determined by the Transport Manager and include accountability for legal compliance, delivering continuous effective management, and a commitment to professional development.
Purpose of the Job
* Responsible for the daily transport operation, ensuring scheduled deliveries are made on time and in full in line with customer SLAs.
* Managing a team to oversee the ‘in flight’ operation to ensure OTIF performance is achieved and capturing relevant data through live debriefing of drivers.
* Ensuring resource levels are set in line with requirements, considering contractual hours, local arrangements, WTD and EU driver’s hours legislation.
* Working cross-functionally with key stakeholders to meet company objectives and drive continuous improvement.
* Ensuring the daily plan is achievable, cost-effective, and in line with industry protocol.
* Managing VOR and downtime through solid working relationships with local service agents/national dealerships.
* Working with the Driver Trainer to facilitate driver improvements and identify training needs.
* Promoting a safety culture through appropriate behaviours - hazard evaluations, behavioural observations & near miss reporting.
* Working closely with approved third-party hauliers to maintain consistent service standards.
* Escalating non-conformance reporting and managing complaints within an agreed timeline.
* Managing data input and maintenance of appropriate systems – Tachomaster, Paragon, Fleetboard, Integrum, SAP, TUs & Work Day.
* Ensuring O Licence administration via the central fleet team & VOL and management of OCRS.
* Managing the training requirements and personal development of the team.
* Other projects as required.
Key Accountabilities
Operators Licence Agreement (OLA) Management
* Drivers administration - checking drivers' licences and CPC qualifications, ensuring retention of drivers hours and working time records.
* Drivers management - ensuring compliance with driving hours rules and retaining relevant records.
* Drivers operations - ensuring drivers complete and return defect reporting sheets.
* Vehicle administration - ensuring vehicle maintenance records are retained.
* Vehicle management - ensuring vehicles are roadworthy and available for safety inspections.
* O Licence administration – ensuring the traffic commissioner is informed of relevant matters.
* Legal compliance must never be compromised in favour of commercial gain.
Health and Safety, Environment and Quality Systems
* Ensuring a safety-first culture and compliance with legal requirements.
* Ensuring all employees are trained accordingly.
* Encouraging consistent Health & Safety practices.
* Ensuring drivers complete on-farm delivery DRA and point hazard evaluations.
* Briefing all drivers on Workplace Transport Plans.
* Ensuring compliance with Environmental Management Systems and company procedures.
Transport Operations
* Working cross-functionally to meet company objectives.
* Effectively managing capacity and rota management.
* Ensuring compliance with EC drivers’ hours rules.
* Reviewing and validating the daily plan to ensure compliance with legislative requirements.
* Ensuring OTIF performance in line with targets.
* Managing service schedules and vehicle files.
* Maximising operational efficiency through raw material loading and inter-mill movements.
Finance
* Achieving cost per tonne in line with target.
* Participating in budget formulation and demonstrating proactive cost control.
* Using company systems to manage KPIs.
* Presenting monthly financial positions.
