Team. The Procurement Assistant will play a vital role in supporting the procurement process described in the followings.,
* To assist/support the team with any quotation, purchase order process, payment, forward
exchange contracts.
* To use internal Purchase Requisition System to assist in the creation and processing of purchase
orders. Review purchase orders for accuracy and completeness. Track and monitor order status to ensure timely delivery.
* To liaise with suppliers to resolve order discrepancies or issues. Communicate delivery schedules
and expectations to suppliers. Maintain positive relationships with vendors.
* To liaise with internal customers to provide status updates on orders/PD activities.
* To cooperate with logistic and acceptance department about goods delivery, including provide
delivery documentations.
* Documentation and Record-Keeping: Maintain accurate procurement records, including purchase
orders and contracts. Organize and file procurement documents for easy retrieval. Prepare reports and summaries as needed.
* To assist in the registration of new suppliers, including suppliers' bank account confirmation and
supplier information registration.
* Administrative Support: Provide administrative support to the procurement team as required.
Schedule meetings, maintain calendars, and assist with correspondence. As required, greet & direct Visitors &take meeting minutes & handle incoming telephone calls to provide a prompt & effective service.
* As required, business trip to Inverness office & Nigg factory.
* Any other duties commensurate with the role or as directed by superior.
* To ensure compliance with company procurement policies and procedures.
We are seeking a dedicated and detail-oriented Procurement Assistant to join our procurement, Bachelor's degree in Business, Supply Chain Management, or a related field
(or equivalent work experience).
* Proven experience as a procurement assistant or in a similar role is a plus.
Good team working skills and good communication abilities both verbal & written.
* Attention to detail and a high level of accuracy.
* Ability to work independently and as part of a team.
* Strong organizational and time-management skills.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Knowledge of procurement regulations and best practices is preferred.
* Willingness to learn and adapt to changing procurement processes.
* Self-motivated and able to prioritise work to achieve deadlines without compromising quality.
* Integrity and ethical behavior in handling sensitive procurement information.
