This role is integral to the smooth running of the Agency both in terms of administration and audit delivery and sits in Central Support. As a member of the administration team, you will provide administration support to either several Group Chief Internal Auditors and Deputy Directors, the Director's HEO in your directorate and wider teams across the Central Services Directorate (CSD), or the Chief Executive Officer. Fulfilling this role effectively will release time for your customer to concentrate on delivering better insights, better outcomes and contribute to the smooth running of the Agency.
Our Central Services Officers play a key part in ensuring our Chief Executive and Deputy Directors know where they should be and by when. They also need to have the right information, at the right time, to operate effectively and efficiently. Therefore, the successful candidate will be able to demonstrate the following:
Provide an efficient, proactive, and comprehensive administrative service to both Deputy Directors or the CEO, and the wider business as required. You will be the single point of contact for information and responsible for collaborating with others in resolving issues and finding information.
Manage multiple inboxes, monitoring correspondence ensuring that appropriate and timely action is taken to resolve issues. Respond to enquiries and requests using judgement to prioritise and highlight key e-mails/activities to maintain business continuity.
Proactively plan, organise and monitor diary commitments across multiple diaries making the best use of resources for example, travel arrangements, transport and accommodation bookings.
Draft correspondence on behalf of your customers as appropriate, ensuring information is protectively marked and stored in line with Agency policies.
Provide secretariat services for local team meetings, capturing/logging and tracking actions appropriately and provide support in directorate/Agency projects such as organising internal/external stakeholder events, team away days and Agency conferences.
Our team is always looking for ways to improve efficiency so you will be expected to contribute to improving ways of working by eliminating duplication and looking for ways to work smarter, not harder using technology and streamlining processes where possible.

Person specification
You will be required to write a statement of suitability of up to 500 setting out how your skills and experience meet the following criteria
Have previous experience of providing an administrative support service to a range of customers.
The ability to use independent judgement to problem solve and prioritise multiple tasks effectively.
Have previous experience of managing multiple diaries efficiently, holding regular diary planning meetings with your customers, providing feedback on requests and actions relating to meetings/tasks, ensuring they are prepared, and deadlines are not missed.
Have previous experience of managing busy email inboxes by monitoring and prioritising email traffic, responding in a timely manner, ensuring deadlines are not missed.
Experienced to a high level in the use of Microsoft packages such as Word, MS Outlook, Excel, and PowerPoint.
Experience of working collaboratively with a team. Being highly organised with a strong attention to detail and an ability to plan and prioritise.
Having a highly proactive and positive attitude to push tasks through to completion.
