Export Operations Assistant Location: Coventry Working Hours: Monday to Friday, 09:00 - 17:30 Contract type: Permanent Salary: £26.000 - £28.000 DOE Empowered Personnel has an excellent opportunity for an Export Operations Assistant to join a well-established, rapidly expanding company based in Coventry. We are searching for a highly organised and proactive Export Operations Assistant to support our export and logistics processes. As an Export & Operations Assistant youll play a pivotal role in managing sales orders, ensuring timely shipments, and maintaining seamless communication with customers and logistics partners. Key Responsibilities of an Export Operations Assistant Sales Order Management: o Manage export orders on the sales order screen and update progress in New BC, including team involvement details. o Liaise with Purchasing & Sales teams to address out-of-stock items and provide product availability updates. Logistics Coordination: o Obtain logistics and documentation quotes for export orders (UK to overseas). o Liaise with customers for collection arrangements and coordinate bookings with the warehouse. o Share logistics details, Packing Lists, DGNs (if required), and Commercial Invoices with customers/logistics companies. o Organise shipments from the UK to NL under our NL VAT number, ensuring proper documentation and adherence to processes. Documentation & Compliance: o Prepare and complete export documents such as T1s, Bills of Lading, Export Certificates, ISFs, and Certificates of Origin. o Maintain accurate records for direct shipment invoices and file them accordingly. Customer Communication: o Notify customers of payment terms, send reminders, and ensure timely receipt of payments. o Share shipment updates, including loading/unloading references, and promptly communicate any delays. Transport Oversight: o Add transport charges to invoices for shipments organised by us. o Monitor domestic transport costs to ensure value and notify the sales team of potential groupages to reduce expenses. Reporting & Invoicing: o Prepare the Sales Spreadsheet for NL VAT shipments during the first week of every month. o Invoice export orders once goods leave the warehouse. Ideal Candidate: o Strong organisational skills with attention to detail. o Experience in export operations and international shipping. o Knowledge of export documentation and compliance requirements. o Excellent communication skills to liaise with customers and internal teams. o Proficiency in software systems such as New BC or similar platforms.
