Job Description
Document Control Assistant\n This position will coordinate the document control process. This position is responsible for quality of the project materials and documents to issue for construction.\n * Create, update, and maintain electronic and physical document repositories for engineering documents on each project.\n * Assign document identification numbers and assist the engineering team with version control.\n * Review documents for presentational accuracy, completeness, and adherence to company and client standards prior to issue to third parties.\n * Facilitate document retrieval requests from authorised personnel.\n * Ensure documents are distributed to relevant individuals or departments in a timely manner.\n * Monitor document access and ensure proper security measures are in place.\n * Perform regular audits of documents to ensure accuracy and compliance with established procedures.\n * Identify and report any discrepancies or non-compliance issues to management.\n * Maintain an organised filing system for both physical and electronic documents.\n * Ensure documents are archived and disposed of in accordance with retention policies.\n * Collaborate with various departments to establish document control best practices.\n * Provide training and guidance to staff on document management procedures.\n * Assist in the preparation and formatting of documents as needed.\n * Ensure documents meet internal and industry-specific standards.\n * Performs other duties as assigned\n * Complies with all policies and standards\n * Requirements:\n Qualifications\n * Bachelor Degree and 10 years of applicable experience Required or\n * Applicable years of experience may be substituted for degree requirement.\n * Previous document management experience preferred.\n * Candidates should possess independent problem solving and analysis skills.\n * Ability to interface with clients and vendors.\n * High attention to detail, accuracy, and quality required.\n * Proficient in Microsoft Office including Word, Excel, and Access
