Job Description
About the Position
The Operations Trainee is a dynamic role working alongside our Facilities and Administration teams. This role will provide the opportunity to gain hands-on experience while working across multiple departments, including fleet and asset management, administration, and reception. The successful candidate will assist in the smooth execution of daily operations, ensuring efficiency and collaboration between departments.
Key Position Responsibilities
Facilities Management
* Assist with the management of on-site parking and traffic management
* Assist with storage management
* Assisting with furniture orders, deliveries, installations.
* Assisting with communications with staff around facilities issues, repairs and installations
Fleet
Assist with the management of the Fleet including but not limited to:
* Assisting staff with fleet bookings
* Checking log sheets and replenishing log sheets in folders
* Replacing damaged folders when needed
* Ensuring cars are clean and tidy
* Car inspections after staff use checking for cleanliness, compliance with refuel policy
* Assisting with fleet vehicle servicing (if they have a licence)
* Arranging for cars to be regularly serviced (as per schedule)
* Fleet GPS monitoring when needed
* All fleet HS requirements, including checking first aid kits
Assets
Assisting with:
* Maintaining the assets register alongside the Operations Coordinator
* Completing asset labelling and entry onto register
* Completing maintenance tasks across all BDAC sites
Administration
Assisting the Administration team with the following:
* The ordering of stationery, uniforms, tea room items, cleaning items and office equipment for the organisation in line with BDAC’s financial procedures
* Sort and distribute internal and external mail, distribute faxes and packages
* Receiving deliveries, running errands and collections function (including banking)
* Essential card distribution, according to agreed process and authorisations
* Records management, sorting and filing confidential documents in-line with BDAC’s confidentiality agreement and relevant state legislation
* Provide administration support to other Corporate Services Teams including HR and marketing

* Business Administration
* Construction
* Asset Management
* Or as otherwise agreed
* Ensure you stay up to date with your studies, including making sure all set assessment tasks are completed on time
* Attend all online or face-to-face classes or tutorials with your education provider
* Be an engaged learner during on-the-job training
Desired Skills and Experience

* Demonstrated ability to work effectively as part of a team
* Must be able to maintain confidentiality and privacy

* A willingness to learn and adapt to new tasks
Education, Training and/or Competencies.
Mandatory
* Must complete a Certificate II or III in one of the related disciplines:
* Business Administration
* Construction
* Asset Management
* Previous experience working with Aboriginal and/or Torres Strait Islander community members or in an Aboriginal organisation (preferred)
* Previous trades experience and/or interest
