This includes communication (internal/external), financial administration, supporting student disciplinary procedures, and assisting with the curriculum and student experience needs. As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.
What you’ll do at work
* Provide an all-round administration support service, dealing with a variety of enquiries and requests across a wide range of curriculum provision
* Record timely and accurate details across all work streams and enter data into college systems
* Provide high quality, accurate and consistent responses to enquiries by phone, email or online as required
* Support curriculum managers with the administrative aspects of the student disciplinary procedure, providing timely and accurate case investigation files and information
* Provide financial administrative support, raising purchase orders and invoices in line with college policies and procedures
* Provide administrative support for assessment and examinations aligned to curriculum areas
* Assist staff, students, parents and customers by providing information, advice and guidance in all aspects of college administrative services
* Utilise bespoke college systems to support administrative services
* Undertake curriculum specific projects as required to support the needs of the curriculum area, staff and students
* Keep abreast of college activities to support a best in class staff/student experience and signposting to services provided;
* Work flexibly (including evenings/weekends) to cover the requirements of curriculum areas
* Undertake administrative tasks relevant to the role, assisting other team members within the directorate as required to provide support for front-line services
* Work flexibly across the Student Experience Directorate to deliver first class support
* Support enrolment procedures as required. Enrolment of learners using college systems and processes, assessment of eligibility to funding and processing fee payments where required
* Actively promote and provide support for wider college events during the evening/weekend to include Interviews, Tasters, Enrolment, Open Events etc.
* Work within service standards and procedures to ensure effective and efficient services are delivered
* Designated core duties assigned as agreed with the Student Services & Admin Hub Team Leader

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.

Your training plan
* You will be achieving a Level 3 Business Administrator Apprenticeship
* The apprenticeship standard requires 20% off-the-job training, which is mandatory
* The off-the-job training will be provided by an assessor who will attend your place of work once a week as part of a day release schedule
* You will be assessed based on your performance in the End Point Assessment (EPA), which occurs at the conclusion of the apprenticeship and typically lasts around 3 months
* On-the-job training will be delivered at your place of work – Mathew Boulton College, Birmingham
* Occupation-focused; the standard is focused on the occupation, rather than being qualification-driven. Learning takes place throughout the apprenticeship, with an emphasis on key areas: knowledge, skills, and behaviours (KSB)
* During the apprenticeship, you will work alongside experienced colleagues to gain hands-on experience and develop practical skills
