We currently have an exciting opportunity to join our Aviation Logistics team in Aberdeen. Reporting to the Aviation Logistics Manager, this role is responsible in providing logistics services for transporting personnel and cargo to and from offshore locations to meet the demand of client operations. This includes logistics coordination and passenger booking services working a shift pattern providing duty cover on an 8-hour rotation basis, with out-of-hours response and weekend cover provided as required. Key responsibilities will include:
* Act as a focal point for onshore and offshore client representatives; nominated Aircraft provider; Heli-freight provider; and Vendors to ensure the flight programme is managed to meet day to day requirements.
* Compile and issue the daily and monthly flight schedule, creating flights using the Vantage system.
* Action any changes if these have not been actioned by the Planner; Heli-Admin or designate.
* Liaise with check in staff for closing flights ensuring all passengers and freight have arrived - work with crew on payload/refuelling stops etc.
* Ensure the Aircraft provider is aware of freight requirements outbound to offshore installations.
* Use knowledge and experience to challenge crew change requests from the Client, where alternative actions could improve or optimise resources.
* Optimise crew change efficiency by maximising use of aircraft resource, identifying and using industry sharing schemes where relevant, and minimising use of ad hoc requirements.
* Manage requests for flight share, medivac or compassionate flights as required.
* Maintain contact with the Aircraft Provider, advising them of unexpected routing or weather changes.
* During delays, keep detailed records of flight check-in time opening, closing, flight taxi and airborne times, as well as ETA offshore. Pass relevant details to the Heli-Admin doing flight watch.
* Where weather impacts flights, ensure passengers and offshore teams are kept informed and that where delays occur, refreshments are made available.
* Provide on-call cover and weekend cover, as required on a rota basis.
* Attendance at clients' emergency response drills at agreed intervals.
* Provide day to day management of Vantage as 'Passenger Management System' ensuring all passengers meet client requirements prior to offshore travel.
* Ensure all passengers comply with client requirement for offshore travel and hold valid certification appropriate to their occupation.
* Confirm check-in times and locations to employing companies (Vendors) for all personnel travelling.
* Track, manage and report no-shows.
* Relay passenger name changes/cancellations to the relevant Heli-Admin. Update changes in Vantage.
* Where appropriate, source dispensation from relevant OIMs by email for Inductions not completed prior to travel.
* Monitor seat allocation and utilisation of resources/ aircraft and crew to optimise efficiency.
Maintain positive and professional work relationships.
* Previous experience in a Logistics/Aviation role
* Computer literate with well-developed IT skills across the Microsoft suite, particularly Excel and Vantage.
* Vantage User training
* Solutions based with strong planning, organising and numerical skills, and an excellent attention to detail.
* Accustomed to working effectively in a fast-paced environment, flexible and can adapt to changing workloads and priorities, where high standards under pressure are not compromised.
* Strong interpersonal, written, and verbal communication skills
* Ability to work standalone and as a positive contributor to a wider shared team.
Minimum Qualifications
* Educated to National Level 5 or equivalent.
* Full UK Driving Licence
