Summary:
To assist in the operation and delivery of a fully centralised, high quality service to staff and potential recruits, demonstrating the organisations commitment to Improving Working Lives, flexibility and staff development. To promote at all times a positive image of people with mental health conditions and learning disabilities. To promote at all times a positive image of the Temporary Staffing Service and the wider Trust. To undertake and co-ordinate administration processes in relation to the recruitment of Temporary Staff. To provide and deliver training and guidance to Temporary Staff in relation to Information systems.
Administrative Responsibilities:
Ensure that staff and others using the Temporary Staffing Service receive an excellent level of service.
- Act as a point of reference and support for answering queries or dealing with calls to or from staff or other bodies.
- Ensure staffing levels and skill mix are used to full effect in the delivery of services.
- Enter all Service specific Inductions onto the Bank Staff system and ESR within time limits to achieve standards and produce reports.
- Manage diary, type reports, photocopy documents, minute meetings, prepare presentations and provide other general administration support for the Temporary Staffing Service.
Responsibility for Information & Information Systems:
- Assist in the resolution of system related issues by investigating and identifying errors.
- Ensure all standard operating processes specific to the Temporary Staffing Service/Bank System are fully documented and adhered to.
- Ensure a good understanding of the clinical and corporate services and structures to better meet their staffing needs.
- Manage the daily processing of information, ensuring that all information is processed accurately and timely using ESR (Employee Staff Record) system.
- Produce standard and ad hoc reports as required within agreed timescales, using knowledge of extracting and analysing information from the ESR and Bank Staff system using Excel spreadsheets.
- Ensure that data is processed and maintained in such a way that it meets Information Governance requirements.
- Process, record and maintain service support documentation including training materials and user guides.
Responsibility for Planning/Organising:
- Plan and prioritise own workload and make adjustments as appropriate according to department workload.
- Plan work activities and monitor progress to ensure delivery of key work objectives. This may include planning activities to be undertaken by others, adjusting timescales to accommodate differing priorities and workloads.
Service Development, Project Management:
- Actively contribute to the development of the Temporary Staffing Service Administration Team; evaluate current ways of working, develop ideas, share knowledge and learn new skills, pilot and provide new areas of work and promote the role of the Temporary Staffing Service as a central resource of the whole Trust, taking agreed action to affect improvements.
- Contribute to the creation of a working environment that encourages reflective practice and the continuous improvement of services in the wider Trust.
- Promote the use of collaborative working with other departments to improve staffing levels across the Trust.
