Our prestigious client, a leading law firm in central London, is seeking a highly motivated and proactive Deputy General Office Supervisor to join their growing team. In this pivotal role, you will manage a variety of key office operations while supervising the General Office Assistant in the absence of the Supervisor. As a hands-on position, this role requires a dedicated presence in the office Monday through Friday.
The ideal candidate will have a proven track record in a similar role, preferably within a legal environment. You will be exceptionally well-organised, possess strong administrative experience, and be highly computer literate. With a keen understanding of shifting priorities and tight deadlines, you will approach every challenge with both practical insight and common sense.
Duties will include:
* Efficiently manage all incoming and outgoing mail, including coordinating couriers
* Ensure the smooth operation of the franking machine, quickly resolving any issues that arise
* Handle reprographics duties, including copying, scanning, and binding documents with precision
* Report maintenance issues promptly to the appropriate teams, ensuring swift resolution
* Conduct stock checks and place orders for office supplies, ensuring materials are always replenished as needed
* Assist with the setup and onboarding of new starters, ensuring a seamless transition
* Accurately review and verify incoming invoices, addressing discrepancies immediately
* Prepare and reset meeting rooms as requested, working closely with reception and hospitality teams
* Move office furniture and large/heavy items when necessary, demonstrating flexibility and teamwork
* Supervise the General Office Assistant during the Supervisor’s absence, providing leadership and guidance
* Coordinate staff rotas and lunch schedules to maintain adequate coverage at all times
* Provide archiving support as required, maintaining an organised and efficient filing system
