Job summary
This is an exciting opportunity within the ICB for hrs/ Band 4 Safeguarding Support Administrator -Sunderland/South Tyneside. The post is for maternity cover until March 2025 with a possible extension of contract thereafter.
The nature of the role demands a degree of autonomy, the ability to manage and respond to day-to-day challenges as well as a high degree of intellectual flexibility. You will need excellent communication and engagement skills and meet the essential criteria outlined within the Job Description. Working practice will be the ICB agreed Hybrid model.
Main duties of the job
The post holder will provide and coordinate administrative and secretarial support for the Local Safeguarding Delivery Team.
The postholder will function as a first point of contact for safeguarding enquires and act a link to other members of the team accordingly.
They will direct specific enquiries to the relevant member of the team, if necessary and provide a record of progress. (The post holder will be required to develop an understanding of the responsibilities of the Safeguarding team to dealappropriately with queries and routine matters).
To perform general administrative duties in support of the team and deliver against those areas of work identified in the job description.
Supporting the team with gathering information and undertaking confidential enquires as and when is necessary for the Designated Professionals and Safeguarding team.

Job responsibilities

The ICB collaborates with our Provider Collaborative, and this includes the wider health economy.
The post holder will provide high level administrative support to the Local safeguarding delivery team; this includes monitoring of electronic mailboxes, management of multiple complex diaries ensuring a proactive approach in the forward planning of diary commitments, resolving and prioritising conflicting demands by analysing information and using own judgement, filing and maintenance of databases, as well as other general administrative tasks as and when required.
Type general and confidential correspondence, reports, and tables etc from manuscript, copy or audio using PC based word processing and spread sheet packages.
Retrieve word processing documents from disks, memory sticks and directories for amendment and printing; preparation of presentation materials including PowerPoint, acetates, flip charts, and notices as required.
Preparation, photocopying and distribution of papers and agendas for meetings and Safeguarding training events.
Supporting mandatory training sessions delivered by the Safeguarding team; preparing presentation materials, circulating programmes, preparation, and distribution of certificates for delegates, ensure event attendance is recorded appropriately, coordinate the collection of evaluation data, and ensure summary reports are produced.
Responsible for the daily monitoring and management of generic mailboxes including signposting to the relevant safeguarding team member.
Effectively manage a demanding workload day to day where concentration is required, having the ability to change from one task to another.
Regular use of information systems such as the NHS Spine portal to gain access to patient information, checking and coding invoices on oracle, or uploading documents to the GP practice shared system on GPTeamnet.
Responsible for the continuous updating and maintaining of the team's intranet and external website pages in collaboration with colleagues.
Provide relief cover for other members of the administrative team as appropriate.
Person Specification
KNOWLEDGE TRAINING AND EXPERIENCE
Essential
1. RSA 3 or NVQ 3 level or equivalent or significant administrative and office work experience and acquired knowledge of administrative procedures.
2. Good standard of general education
3. Significant secretarial and administrative experience
4. Experience using a range of work procedures and practices, the majority of which are non-routine.
Desirable
5. Additional qualification in word processing and spreadsheets
