The Datix system is a suite of modules for Risk, Incidents, Complaints, PALS, Claims, Inquests & Contacts through which the organisation coordinates and manages its patient safety, quality and risk obligations.
Key Responsibilities:
1. Ensure data is submitted timely internally and externally (NRLS/ LFPSE).
2. Support Datix/ LFPSE projects/ Patient Safety Incident Review Frameworks, developing plans alongside the Patient Safety Incident Lead.
3. Escalate issues around Datix, data, NRLS, LFPSE to the Patient Safety Incident Lead.
4. Manage the day-to-day technical operations of the system and business continuity, including troubleshooting complex problems and system errors.
5. Liaise with the system supplier and develop the system for good governance and efficient front-end user experience.
6. Develop Standard Operating Procedures, SBARS, and Technical Support documents, adhering to change control processes.
7. Communicate changes in system functionality to all key stakeholders.
8. Develop and deliver virtual and face-to-face Datix training in liaison with the Education team.
9. Create Datix user modules for induction, clinical personnel, investigators, first line supervisors, and approvers of Datix records.
10. Act as the lead for the Trust Risk Management system (Datix) and be the primary contact for all related queries/issues.
11. Investigate and analyze situations where the Datix system is not performing as expected and manage rectifications accordingly.
12. Support the analytical work of the team by producing ad-hoc reports using data exported from Datix, LFPSE, NRLS.
13. Responsible for maintenance and periodic review of the system’s business continuity plan.
14. Provide tailored training for Trust staff and maintain records of this training.
15. Create dashboards including monthly, weekly, and quarterly data for specific staff groups (e.g., governance, ward managers).
16. Provide timely Datix information for all FOI requests and for submission to relevant committees and regulators.
17. Develop online training programs/material and training manuals to assist staff in system use.
18. Supervise the incident team on a day-to-day basis (Band 4, Band 3).
19. Conduct appraisals and monthly supervision within line management responsibilities for Band 4 & Band 3 staff.
