The Business Support & Coordination Profession (BS&C) provides a full business support service through administration, analysis, reporting, and secretarial duties for a Director, Associate Director, or Directorate. Jobs within this profession include a full range of duties such as calendar management and recording of actions through to travel arrangements and planning, detailed analysis, and participation in strategic planning activities.
The Executive Assistant will support the Met Office Executive Directors. The ability to work both autonomously and collaboratively in a timely manner to meet tight deadlines is imperative. You will multitask, carefully plan, and manage competing priorities with the utmost discretion and diplomacy. You will engage with stakeholders at all levels both internally and externally; a confident and agile communication style, both written and verbal, is essential. The EAs of the Executive work as a team, providing support and cover for each other as necessary. Competency in Outlook and Office 365 is essential.
Key Responsibilities:
1. Develop an understanding of your directors’ priorities to support proactive, independent, and flexible management of complex diaries including meetings, visits, events, and travel. Ensure time is used efficiently and commitments are arranged to allow respite between demanding engagements, with supporting documents and preparation time available ahead of engagements.
2. Arrange UK and International travel including rail, transfers, flights, hotels, and visas whilst adhering to Met Office Policy, Budget, and Net Zero targets. Process expenses on their return.
3. Support meetings and events by collaborating internally and externally to ensure the meeting/event runs seamlessly; sourcing venues, catering, accommodation, and any other resources required.
4. Proactively support your director with inbox management, bringing matters of urgency to their attention and assuming full responsibility in their absence. Sort, prioritise, and action on their behalf where possible.
5. Develop knowledge of key stakeholders and build positive relationships to support effective engagement, identifying when appropriate to manage, drive, lead, influence, collaborate, or support. Maintain and ensure contact details are kept up to date.
