About the role
The post holder will be responsible for the overall day-to-day administration and operational management of the Education Office including the review and development of clear administrative policies and processes to support the Director of Education Office and Head of Education and Student Experience Strategy Projects. The post holder will play a key role in underpinning the activities of the Education Office in order to manage key University-wide initiatives related to education and the wider student experience.
The post involves a prominent level of interaction with staff of all levels both within the Department and across Academic and Professional Services Departments across the University.
This position requires excellent organisational skills, with the ability to plan and prioritise a busy workload effectively in order to meet given objectives, adjusting priorities as necessary in response to changing circumstances or problems and demonstrating a flexible approach. The post holder will be responsible for organising and carrying out a variety of tasks and duties in order to meet required time and quality standards. The post holder will be expected to work independently to resolve the majority of issues, reporting progress and results as required.
The post-holder will be expected to have experience of working in higher education, with an interest in learning, teaching and the student experience and will, ideally, have experience of working in a project support role.
What you would be doing
* Responsible for the design, development, implementation, and review of administrative systems to support the management of the Education Office.
* Responsible for the line management of the Education Projects Coordinator (Governance), ensuring suitable personal development and objectives are agreed and monitored.
* Ensure that the Education Office's administrative policies and procedures reflect current University policies and procedures, revising and updating as required.
* Continuous development and monitoring of workflows and deadlines for the completion of administrative duties and ensuring that sufficient and suitable administrative cover is arranged as required.
* Attend and provide input at relevant meetings, team briefing and conferences.
* Act as the Department IT representative, and as administrator for relevant IT systems.
* Responsible for the management of the equipment requirements of the Education Office.
* Departmental Safety Officer, ensuring first aid/fire warden sufficient cover and managing training requirements, as well as acting as the Departmental Computer Health Assessor.
* Responsible for the Education Office's space, including management of desk space as well as requesting office maintenance and repair work. Key liaison between the Education Office and all related Facilities Management service staff.
* Organise Education Office activities, which could include meetings, events, training and team building activities.
* Overall responsibility for administering and coordinating the Education Office's finances, and principal internal contact for all Education Office accounts to University and external contacts.
What we are looking for
* A professional qualification in Business Administration or equivalent, together with significant post qualification experience, including financial and human resource. Or broad experience, acquired through a combination of job related training and considerable on-the-job experience, demonstrating development through involvement in a series of progressively more demanding relevant work/roles.
* Proven administrative work experience in higher education, with an interest in learning, teaching and the student experience.
* Evidence of managing and developing staff successfully.
* Experience of changing and developing effective administrative systems to respond to changes in working practices.
* Excellent oral and written communication skills, with high standards of accuracy, consistency and attention to detail and an ability to convey information clearly and effectively.
* Excellent interpersonal skills with the ability to build and maintain good working relationships with a wide range of people at all levels of seniority
* Willingness to work proactively as part of a team, readily supporting colleagues in times of high pressure
