Legal Secretary - Permanent Position Our client is currently seeking a skilled and organised Legal Secretary to join their team. As a Legal Secretary, you will provide administrative and secretarial support to fee earners, helping them deliver excellent service to all clients efficiently. Responsibilities: - Record Keeping: You will handle the setup, maintenance, closure, and archiving of all client entities and matters, both electronically and on paper. It is essential to ensure that all filing systems are up to date. - Typing and Correspondence: You will be responsible for typing letters, emails, and other administrative tasks using the Big Hand system. Additionally, you will despatch all correspondence promptly and file it under the relevant client matter in the practise management system (P4W) and the paper file. - Diary Management: Assisting fee earners with diary management and preparing for meetings, including organising appointments, phone calls, and maintaining the team diary system with court and other important dates. - Client Queries: You will handle routine client and other caller enquiries by answering phones promptly and professionally. Your duties will include making appropriate appointments, taking messages, and resolving straightforward queries. Face-to-face interactions with clients and other visitors will also be required. - Client Accounting: You will assist fee earners and liaise with the accounts team on client accounting matters, including raising monthly fee invoices, processing client receipts and payments, and managing client accounts. - Document Preparation and Distribution: Assisting fee earners with document preparation and distribution in relation to Wills, Trusts, and Probate Law. This will include photocopying, preparing and distributing documents, and providing departmental file starter packs for new joiners. - General Administration: Providing general administration support to fee earners and the firm as needed. This may include organising and administering business development and marketing events, as well as arranging refreshments for meetings. Requirements: Competent audio typist with a strong command of grammar and punctuation. Proficient in relevant IT tools, including Microsoft email and Office, digital dictation systems (e.g., Big Hand), and practise management systems (e.g., P4W). Excellent written and verbal communication skills, with a professional telephone manner.
