Job overview
An opportunity has arisen for a full time Speciality Theatre Supplies Coordinator within the NUH Qmc Theatres. The role will encompass working closely with the speciality area and theatre stores team to ensure safe stock levels and quality standards are maintained, whilst at the same time identifying and exploring savings opportunities with the department.
Main duties of the job
The post holder will be required to provide an efficient, cost effective, independent and courteous service to a dedicated specialty whilst at the same time working as part of the theatres stores team. This will include the management of stock within specialty to agreed levels and the processing and booking in of orders on the relevant ordering system. Effective and timely communication with various parties to include specialty areas, stores, suppliers and NHS logistics is essential. The coordinator will at all times provide support to clinical staff in the provision of high quality, patient-centred care.
Working for our organisation
This role is part of the Qmc theatre stores team providing an excellent logistic service to theatres and critical care. The team consists of four speciality coordinators, eight theatre supplies assistants and one stores supervisor/stock controller. This is a very busy environment where the emphasis is on teamwork, flexibility and mutual respect. We work very closely with Theatre practitioners and patients are in close proximity, so a high level of confidentiality is required.
Hours of work will be Monday - Friday, 8am - 4pm with some flexibility depending on the needs of the service including being part of the weekend rota for stores.
Detailed job description and main responsibilities
This position will require working with the Trust's procurement management software systems, Powergate, Integra, Ingenica and the NHS Supply Chain system.
The candidate will be required to receive orders into the department, unpacking items and storing equipment according to local stock management systems. This will also include stock rotation and working closely with finance colleagues in the production of stock reports. You will also be required to support our governance teams with product recalls and alerts to ensure patient safety is maintained in the department.
The successful candidate will also be required to work closely with the theatre teams and procurement leads to ensure that products, including specialised items, are ordered, received and made available according to agreed deadlines, ensuring that our patients continue to receive the highest standard of care.
You will be expected to support, and cover during absence, the other Specialty Co-Ordinator's including main theatre stores when required.
Person specification
Training and qualifications
* Educated to minimum GCSE level (Mathematics and English) or can demonstrate the ability to work at that level
* Good working knowledge of MS Office
* Knowledge of the Trust’s procurement management software, PowerGate and e-Series, and theatre scheduling module, ORMIS
Experience
* Experience of specialty theatre environment
* Some clinical product knowledge
* Stock control/purchasing experience
Communication
* To be able to communicate stock position in specialty theatre in a clear and logical manner
* A high standard of written and verbal communication skills with colleagues, customers and external organisations
* Recognise own role as part of a team
