Islamic Cultural and Educational Association (ICEA) is a faith-based organisation in Bradford. We are looking to recruit an admin assistant to help the administrator at ‘Madni Jamia Masjid’ in Bradford 3. You'll be working 03 days per week on a rolling rota (Monday to Saturday), although additional days will be available when covering for holidays or absences. This is an interesting yet challenging role, and we are looking for candidates with experience in working under pressure, meeting deadlines, being part of a team, but at times able to confidently take their own initiative to balance the needs of a very demanding services portfolio offered by ICEA, Madni Jamia Masjid. The role involves providing full admin support to the Administrator and the Management committee of the ICEA, which includes extensively supporting the financial administration of the organisation.
You will also be taking part in organising Islamic religious events such as Eid-e-Milad, Dhikar mehfils, Khatums, nikkahs, as well as providing admin support during funerals taking place in the Mosque.
Applicants must be UK residents at the time of applying for this position. You must not have any restrictions on taking up full-time employment in the United Kingdom and must have a minimum of 05 years trackable employment history. An enhanced DBS check is mandatory for this position. The cost of the DBS check will be covered by the organization.
Administration skills
* Proven track record in office administration or similar position
* Familiarity with office procedures and basic accounting principles

* Practical knowledge of office devices such as printer, photocopier
* Excellent knowledge of MS Office (Mainly Word & Excel)

* Knowledge of purchase order process, quotations, invoices & payments
* Any knowledge or experience in event management support will be a huge advantage
Communication Skills
* Excellent communication skills in English, both written and oral
* Oral communication in Urdu, Punjabi or Mirpuri will be a huge advantage

Qualifications
* Must have GCSEs grades 9 to 4 (A* to C) or equivalent qualifications, including English and maths with a minimum of 5 years trackable work experience within an office environment
* A Level grades A* to C or equivalent in English and/or Maths is highly desirable
Range of duties
* Work closely with Administrator, Treasurer, and Assistant Treasurer to ensure financial elements of the organisation are achieved on a regular basis and in a timely manner such as bookkeeping, purchase orders, invoices, payments to contractors, banking & account management reports
* Provide admin support in organising religious events, nikkah ceremonies, seminars, training programmes, funerals, and khatums
* Answer phone calls, respond to emails and other correspondence in a timely manner
* Preparing monthly staff timesheets for payroll
* Support HR
* Customer service
* Diary bookings
* Scheduling management meetings and taking meeting minutes
* Overseeing cleaning staff
* Overseeing annual maintenance schedule
* Liaising with contractors to ensure all systems are serviced in a timely manner
* Providing support in implementing Health & Safety & Fire Safety
* Any other admin tasks assigned by the management
Hours / Times
* You'll be working 03 shifts per week between Mon - Sat (06 hours per shift). Timing is negotiable, for instance, you may be able to work 9am-3pm or 10am-4pm or 11am-5pm. A two-week rolling rota will be implemented. For instance, week-1, Mon to Wed, week-2 Thur to Sat.
* Approximately 78 hours per month on average
* You’ll also be required to cover holidays & absences of other admin team members, so flexibility is important
