Job overview
We are currently looking to recruit an enthusiastic and self-motivated person who enjoys working as part of a team and independently. You will be leading the Trust's Private and Overseas Patient office and ensuring income is maximised from Private and Overseas patient sources. You will be responsible for the day to day running of the office and provide expert support to the Head of Transactional Services and Fee-Paying Business Manager with the strategic direction of the team. This is a full-time post of 37.5 hours per week.
Main duties of the job
To be responsible for the management of the Private and Overseas Patient Office and maintenance of relevant files/systems.
The key areas are:
* Leadership of the Private and Overseas Patient Office
* Work with colleagues across the Trust, including clinicians, divisional management teams, operations & finance to ensure that the Trust maximises all potential private and overseas patient income
* To act as a point of contact to provide Trust-wide leadership and guidance to ensure that the Trust adheres to national standards for both private and overseas patients
* Support the Head of Transactional Services and the Fee-Paying Business Manager with the ongoing development of the private patient service provision
Detailed job description and main responsibilities
This role will be responsible for the running of the private and overseas patient office and will lead a small team of 6 staff members.
* Day to day operational management of the Private and Overseas Patient team, including support with complex queries and ensuring accurate and timely billing
* Work with colleagues across the Trust to ensure engagement with key processes, identification of potential areas for expanding the Trust’s Private Patient income
* Assist in the development & ongoing review of robust processes & documentation, including training of staff to ensure understanding & compliance
* Work with the Fee-Paying Business Manager and Head of Transactional Services to develop, implement and deliver the Trust Private Patient Strategy
* Ensure that the Overseas Visitor Policy is well understood within the Trust & adhered to
* Administration of NHS Overseas Patient procedure in accordance with NHS guidelines and Department of Health regulations.
* Lead on the implementation of new systems & robust processes to accurately identify chargeable patients
* Key point of contact for overseas visitors, their families, carers and embassies. This involves communication either via phone, email or face to face and dealing with distressed patients to assess their liability to pay
* Lead on the development & implementation of performance metrics & KPIs
* Compile, analyse & report on financial performance of the Private & Overseas income streams for the Head of Transactional Services, the Fee-Paying Business Manager and other senior managers
* Working closely with the credit controller to encourage collection of outstanding debts for both Private & Overseas Patients.
* Work closely with divisions to ensure divisional private patient activity is well understood and correctly recorded.
* Investigate & respond to complex queries & complaints
* Attend regular Private & Overseas Patient Managers meetings across the South West as a representative of the Trust
* Deputise for the Head of Transactional Services and Fee-Paying Business Manager as required
* Any other reasonable duty requested of you by your manager.
Person specification
Work Experience/Knowledge/Skills
* Experience of Working in the NHS
* Knowledge of Patient Administration Systems
* Awareness of Trust Private Patient Policies
* Experience of working in a private healthcare role, within the NHS or independent sector
The successful applicant(s) will normally commence at the minimum of the scale unless they have previous NHS service at the same band. Progression through the scale is by annual increments.
