The following are the core responsibilities of the Medical Receptionist. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels: a. Maintain and monitor the practice appointment system. b. Welcoming patients at Front Reception desk, dealing with queries and appointments. c. Accurately recording and inputting data on the Clinical System1 and patient records. d. Process personal, telephone and e-requests for appointments. e. Answer incoming phone calls, triaging and transferring calls and dealing with the callers requests appropriately. f. Signpost patients to the correct service. g. Initiating contact with and responding to, requests from patients, team members and external agencies h. Clinically code data on System 1 where required. i. Photocopy documentation as required. j. Data entry of new and temporary registrations and relevant patient information as required. k. Action incoming emails and other correspondence as and when requested by the Reception Manager. l. Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the Reception Supervisor. m. Manage all queries as necessary in an efficient manner. n. Maintain a clean, tidy, effective working area always. o. Monitor and maintain the reception/waiting area and notice boards. p. Support all clinical & admin & dispensary staff with general tasks as and when requested. q. Any other tasks as required by the Reception Manager/Supervisor eg. scanning, deductions, admin support, coding, clinic letters/texts, referrals, 2-week rules r. Partake in all mandatory elearning & face to face training. s. Complete opening & closing procedures in accordance with staff rota. t. Provide cover in sickness and holiday absences. Partake in audit as directed by the audit lead. b. Order and monitor stationery supplies when requested. c. Participate in the receptionist rota for lunches/breaks and out of hours cover. d. Support reception team development, partaking in shared learning and team meetings. e. Take part in full team training and staff events where required. f. Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room when requested. Induction At Thirsk Doctors Surgery, you will be required to complete the induction programme and the practice management team will support you throughout the process. Learning and development The effective use of training and development is fundamental in ensuring that all staff are equipped with the appropriate skills, knowledge, attitude and competencies to perform their role. All staff will be required to partake in, and complete mandatory training as directed by management. It is an expectation for this post holder to assess their own learning needs and undertake learning as appropriate. Collaborative working All staff are to recognise the significance of collaborative working and understand their own role and scope and identify how this may develop over time. Staff are to prioritise their own workload and ensure effective time-management strategies are embedded within the culture of the team. Teamwork is essential in multidisciplinary environments and the post holder is to work as an effective and responsible team member. Effective communication is key. Managing information All staff should use technology and appropriate software as an aid to management in the planning, implementation and monitoring of care and presenting and communicating information. Service delivery The post holder must adhere to the information contained within the organisations policies and regional directives, ensuring protocols are always adhered to. Security The security of the organisation is the responsibility of all personnel. The post holder must ensure they always remain vigilant and report any suspicious activity immediately to their line manager. Leave All personnel are entitled to take leave. Line managers are to ensure all their staff are afforded the opportunity to take their full leave entitlement within the holiday year.
