Job Overview
The New Enquiries team is the new Sales led team who operate within the Business Development and New Instructions team and the sole purpose of the New Enquiries Executive is to follow up on quotes and calls to the New Instructions team to increase the conversion rate of the firm. Along with the New Instructions team you are the face of the business, providing exceptional service and professional advice and guidance. Client contact by telephone and correspondence on current matters also form a major part of the daily duties as well as the responsibility for maintaining records and databases within the department.
Responsibilities and Duties
General Administration
* Monitoring the Portal throughout the day for new cases, opening files and the administration of these files.
* Maintaining the Customer Relationship Management (CRM) system by updating the Key Dates section in the NI Team Workflow and keeping the Portal up to date.
* Ensuring the firms policy and procedures for running an electronic file are adhered to.
* Managing your own diary and workload to ensure successful and prompt conversion of leads and quotes.
* Monitor accurately and report to the Business Development Team, reasons for declined instructions.
* Ensuring that the CRM is updated with all sales activity on a daily basis.
* Processing monies received from clients using the Key Stages.
Client Care
* Respond to inquiries made by clients about products and services in a timely and friendly manner.
* Managing incoming correspondence, calls and emails and directing them to the appropriate fee earner or department.
* Building relationships with estate agents and other external clients to support establishing the brand.
Business Development
* Support the New Enquiries Team Leader and Head of Business Development in sales tasks as and when required.
* Working with the New Instructions and Business Development teams to achieve the overall company target of instructions and quotes per month.
* Following up all quotes within company agreed time-frame.
* Be familiar with sectors, market routes and trends to enable the company to ensure effectiveness in service delivery.
* Identify and communicate new business leads for the organisation.
* Cooperate in a positive manner to the growth of the business by providing required assistance to relevant personnel.
* Identify opportunities and build long term relations with the appropriate prospects.
* Providing quotes for legal services as requested by the clients, Estate Agents, or other third parties.
* Sourcing new sales opportunities through inbound lead follow up calls and emails.
* Maintaining strong business relationships with internal & external stakeholders.
* Proactively utilising the CRM systems to sell all elements of the business.
