Job Title: Department Assistant Substitute - Transition Services
Assignment: 6/30, 7/1, 7/2, 7/3, 7/7, 7/8, 7/9, 7/10 from 8:00 - 12:00 PM
Location: Transition Services Center; 640 Vernon Ave., Glencoe
Supervisor: Transition Services Coordinator
Position Outcomes:
To assist special education faculty in the Transition Services Program by providing clerical support in meeting the federal, state, and local requirements of special education.
General Responsibilities:
This position assists the Transition Services located at 640 Vernon Ave. in Glencoe which is a level of services for young adults ages 18-22 offered through the Special Education Department. There is considerable contact with staff, students, parents, and outside agencies. This employee works within established guidelines, exercising strict confidentiality, initiative, and independent judgment in performing duties and in keeping informed of procedures and requirements.
Qualifications:
1. High school diploma or equivalent experience.
2. Capacity to project a positive image of the district to parents, students, staff and outside vendors, as well as exhibit a positive employee attitude.
Knowledge/Abilities/Skills:
1. Knowledge of current office practices and procedures, computers, and additional office equipment.
2. Ability to keyboard rapidly and accurately and use various types of software applications, especially Microsoft Office and Google applications.
3. Ability to assemble and organize data and prepare reports from records.
4. Ability to move around frequently in the office areas as well as other areas of the building.
5. Exemplary interpersonal skills, and ability to communicate clearly and distinctly with staff, students, parents, and outside agency representatives.
6. Ability to be trained in Nonviolent Crisis Intervention Prevention measures and participate as a secondary support when necessary.
7. Proficiency with various social media platforms.
Position Expectations:
1. Lock and secure all entry and exit doors at the start and end of the school day.
2. Answer phone, take messages, direct calls, welcome persons attending meetings with team members.
3. Schedule IEP meetings for transition students and EOS (all Transition services students).
4. Assist with management of transportation during the school day.
5. Order supplies for the program.
6. Take attendance.
7. Create monthly calendars.
8. Organize and execute special events, including:
1. Open house, alumni luncheon, graduation.
9. Manage monthly p-card statements.
10. Record and submit time sheets for student jobs.
11. Manage/balance/budget transition petty cash (if applicable).
12. Manage/coordinate microbusiness deliveries and services.
13. Communicate and collaborate with the Business Office and larger Special Education Department.
14. Microbusiness-related expectations include:
1. Manage monthly p-card statements.
2. Look at Square statements monthly for microbusiness.
3. Transfer funds to any other appropriate accounts (Brew Crew, Greenhouse).
4. Get checks cut (as needed).
5. Manage Square statements monthly.
6. Request and process Purchase Orders and/or payments as needed.
7. Process invoices for purchases.
8. Manage aspects of micro-businesses as they relate to:
1. Researching new items.
2. Obtaining samples.
3. Coordinating with supervisor(s).
4. Placing orders.
5. Ordering inventory.
9. Provide oversight of the micro-business (Glencoe store) when Transition personnel is not present.
15. Create content and manage advertisement and social media for the Transition Center and One Stop Trev Shop.
16. Continue job performance enhancement by participating in professional growth activities.
17. Exhibit a positive attitude and project a positive image of the district to staff and others.
18. Provide support as needed, including but not limited to: lunch supervision, job coaching, classroom assistance, and behavior management.
19. Work with Skokie Washburn representatives, 266 staff and One Stop Technology, including:
1. Collaborating on parent email information, ordering, pricing, and website.
2. Filling orders.
20. Perform other duties as assigned by supervisor.
