JOB TITLE: FLEET ADMINISTRATOR REPORTS TO: NATIONAL FLEET & MAINTENANCE MANAGER WORKING SCHEDULE: MONDAY-FRIDAY (9am-5pm) JOB PURPOSE: The Fleet Administrator works within the Fleet compliance team, who are responsible for ensuring the Company’s commercial vehicles are following all legal requirements. This position involves coordinating and monitoring company policies and procedures to ensure safety on the road and mitigate risk to the Company. This role is responsible for assisting with the controlling of all maintenance documents, ensuring all vehicles remain compliant. KEY ACCOUNTABILITIES: Working with the national fleet and maintenance manager to ensure maintenance documents schedules are up to date on all vehicles. Work with internal and external parties to ensure maintenance documents are received in a timely manner and are uploaded to the correct assets within the maintenance platform R2C Create a weekly report for senior management on compliance of the fleet Leeds To create vehicle files and make sure all are up to date. Setting a process for filing of documentation. Health & Safety: To ensure you follow safe working practices. To promptly report all accidents and incidents to your line manager. To assist in accident investigations as necessary. To ensure that housekeeping standards are maintained. To adhere to relevant site rules, QEHS policies and procedures including quality procedures, HACCP, safe systems of work and environmental controls. Communication: To have good communication skills and ability to liaise verbally confidently with employees and Management. To listen carefully to instructions. To keep your Manager up to date with any work issues that may affect deadlines. Flexibility and Ad-Hoc: To be flexible to work on a variety of duties and locations as required. To carry out any other task that is reasonable and within your skill set as business needs dictate. KNOWLEDGE, SKILLS, EXPERIENCE Excellent problem-solving skills Experience in fleet compliance or a related field Excellent communication skills, both written and verbal Strong organisational skills Ability to work in a fast-paced, high-pressure environment
