REPORTING STRUCTURE REPORTS TO: Bid Manager KEY RELATIONSHIPS: Head office team Franchise network Business Development Managers PURPOSE OF THE ROLE The Bid coordinator will support the pursuit of opportunities by providing bid support to the Bid Writers. They will promote / champion best bidding practice not only within the bid team but across the Countrywide Grounds Maintenance Ltd leading by example. They will support Business Development Manager (BDM) and Regional Manager (RM) to plan for, develop and submit winning bid responses that meet client requirements, whilst also showcasing the additional value that our business can bring. KEY RESPONSIBILITIES Role specific responsibilities include: Manage the Team outlook inbox Portal management – monitoring portals to identify opportunities and download documents. Support in gathering proposal information to create winning responses Review existing content where relevant and support the Bid Writer to develop content. Prepare templates, develop CVs, case studies. Coordinate and respond to pre-qualification questionnaires Working with the Senior Bid Writer, identify content after submission that can be reused and store in the bid library Assist in the preparation of presentations as part of the bid submission. Identify and share lessons learned as inputs to the continuous improvement of the bidding process and tools Support the team in ad hoc activities to develop our bidding excellence Proactively identifies improvement areas during the bidding process. Other responsibilities include but not limited to: Ensure the bid governance process is followed and programme for submission established prior to a kick off Support pre-bid planning including facilitating planning sessions and developing a win strategy. Using bid management platform for collaboration and efficiency. Ensure it is used consistently across all opportunities Review all client documents prior to a bid kick off meeting. Understand clients’ requirements for submission Work closely with Regional Managers, Business Development Managers and the Bid Manager, and the Managing Director (MD) and other departments within the business to agree key deliverables and manage a strategically planned programme where appropriate through to successful submission. You will lead and facilitate efficient communication and collaboration with all parties involved. Identify and manage resources to support submission such as finance, Health and Safety, Marketing etc Take the lead on the production of the submission, ensure that it is in keeping with corporate guidelines. This includes: - The structure and design of the documents - Graphics (if required) - Case studies -Readability of responses Be a competent writer able to create, re-write or polish bid content. This includes being able to identify when responses do not meet client requirements and supporting the author to improve ahead of review Challenge existing processes and embrace new ways of working that improve how we deliver successful bids Oversee the overall progress of bids, initiating corrective action if required to ensure the bid is submitted on time Drive continuous improvement by harvesting model answers for storage. Initiate Lessons Learned sessions and influencing bidding behaviours by sharing best practice and improving things we struggled to answer during the process. EXPERIENCE/SKILLS/KNOWLEDGE EXPERIENCE: Experience in grounds maintenance preferred but not essential. A Level or Degree educated (Graduate) Experience in a similar environment (writing skills) Experience of working with stakeholders Competent with all Microsoft Office programmes including Microsoft Teams. Experienced working knowledge of Adobe Creative Cloud suite of packages SKILLS / KNOWLEDGE: Excellent communicator Good attention to detail Ability to prioritise workload Highly motivated, with a can-do attitude.
