Salary: £30K- £32K per annum based on experience

are currently recruiting for an Office manager. We are looking to hear from candidates who are positive, have a can-do attitude

The Role
The Office Manager is pivotal in ensuring the efficient & friendly operation of our office environment and will be responsible for
a variety of administrative and office management tasks by overseeing all our office functions, coordinating building management,
and acting as the first point of contact for our customers & colleagues. This role also involves managing office services such as
maintenance, administrative duties, catering, travel arrangements, and accommodation bookings but this is not an exhaustive list.
Main duties:
* Oversee visitors to the office and ensure a friendly, personal experience
* Ensure the efficient day-to-day operation of the office
* Act as the primary point of contact for office-related queries and issues
* Provide direct administrative support as needed for the operations team, including note taking during departmental and P&P
meetings, scheduling appointments, meetings, and events, mailing and shipping packages
* Manage relationships between building management and service providers
* Coordinate routine maintenance and repairs for the office to ensure a safe and functional workspace. This includes but it not
limited to Fire, Gas, Electrical, and other annual statutory safety checks using our preferred suppliers.
* Manage and maintain the Approved Supplier & Subcontractor list in line with the company’s qualifying criteria.
* Maintain a good relationship with our preferred supplier for procuring consumables & materials throughout the business. You
will be the main point of contact for coordinating and administering changes to the digital platform for ordering with our
supplier.
* Regularly audit office cleanliness
* Main point of contract for First Aid, Fire Warden, and H&S responsibilities (where required full training will be given)
* Travel & Accommodation Management: Handle hotel bookings and travel arrangements, flight bookings for senior management
adhering to travel policies
* People & Communication Support: Welcome and assist visitors to the office. Ensure internal communications regarding office
operations are clear and efficient in (Face to face, oral or written). Support P&P in onboarding new employees by ensuring
their workspace is ready, preparing welcome pack, including preparing company ID Cards for new starters). Assist in organising
company events and meetings.
* Warehouse Coordination: Act as the direct superior to the Warehouse Coordinator. Ensure seamless coordination between office
and warehouse operations. Support logistics and inventory management in collaboration with the Warehouse Coordinator.
Additional duties:
* Main collection, distribution and posting from the office > on a daily basis and for post as requested by a senior manager.
Mail for different departments (i.e., accounts in Lanfine) needs to be scanned and emailed within 24 hours of receipt
* Restocking of hot and cold drinks
* Ordering hot and cold drinks and maintaining minimum stock levels
* Maintain office stationery and place stationary orders through approved suppliers for operations teams (in line with purchasing
procedure)
* Place food orders for team events as requested by senior manager (with PO provided) and ensure that the working spaces as
required by the Managing & Commercial Director are properly equipped with food, drinks and serving requirements.

* Strong organizational and multitasking abilities
* Attention to detail and accuracy in stock management
* Ability to work independently and in a team
* Good communication and coordination skills
* Physical capability to handle warehouse duties
Essential Requirements:
* Previous experience in Office management or a similar role is essential
* Have strong organisational skills and strategic thinking to effectively manage workload and processes.
