Iron Mountain is seeking a meticulous and detail-oriented Document Review Specialist to join our operational team in London, E16.
This role is pivotal in maintaining the integrity and confidentiality of our clients' sensitive data through rigorous document analysis and verification.
As a Document Review Specialist, you will be responsible for conducting comprehensive reviews of critical documentation, ensuring adherence to stringent regulatory requirements, company policies, and industry best practices. This position demands a high level of accuracy, discretion, and proficiency in navigating our inventory management systems, along with responsibilities in records management and accurate file picking for retrieval and destruction purposes.
Your role in our mission:
* Perform in-depth reviews of sensitive documentation to identify and rectify errors, discrepancies, and inconsistencies.
* Ensure all reviewed documents comply with relevant regulatory frameworks, internal policies, and industry standards.
* Uphold the highest standards of confidentiality and handle sensitive information with utmost discretion and professionalism.
* Accurately pick and retrieve files according to specific requests and inventory system instructions.
* Identify files that meet destruction criteria, adhering to company policies and regulatory requirements.
* Understand and utilise Iron Mountain inbound and outbound procedures to retrieve, process information from client’s order onto Inventory management Systems utilising handheld scanning equipment (PDT).
* Ensure Client assets are suitably protected in accordance with the client specifications i.e. stacked correctly & sensitive / delicate information must be securely wrapped/strapped.
* Highlight any damaged boxes where appropriate.
* Ensure that the system inbound and outbound verification processes are adhered to at all times.
* Responsibility for maintaining integrity of inventory locations.
* Ensure that all assets the site receives are processed accurately and boxes are put away within specified timescales.
* The position will involve manual handling.
* Adhere to site specific requirements for internal relocations of assets.
* Ensure all system functions and processes are adhered to in line with Global Standards and Quality Management systems i.e. ISO9001 accreditation.
* Ensure full compliance with Sarbanes Oxley and other key operating standards.
* Act as a mentor to new staff by providing training and coaching.
* Ensure that everyday operational activities are carried out in accordance with employee responsibilities under the Health and Safety at Work Act etc 1974.
* Responsibility for promoting the security of buildings/ property/ computer equipment and systems & ensure compliance with mandatory IM visitor/ contractor control mechanisms.
Valued skills and experience:
* Ability to analyse documents with a high degree of accuracy and attention to detail.
* A good level of IT literacy.
* Familiarity with warehouse operations and document storage practices.
* Demonstrated ability to handle confidential information with discretion and maintain a high level of professionalism.
* Good level of written communication skills.
* Ability to work on your own initiative.
